Overview
The Fairfax County Health Department is the largest public health department in Virginia, serving 1.2 million residents and the surrounding communities. We are committed to protecting, promoting, and improving the health and quality of life for all in our community. This position works within our Division of Operations Administration.
Responsibilities Responsible for financial processes through the use of financial enterprise systems or spreadsheets to organize information. Prepares a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval. Explains fiscal rules and procedures to employees to ensure uniform application; prepares transfer vouchers and interfund billings. Reconciles accounts payable, identifies discrepancies, prepares expense vouchers and invoices, orders goods or services, and follows up/resolves discrepancies to ensure delivery. Ensures appropriate routing and approval of purchase requests.
Note The assigned functional areas of the position include general office administration, finance, accounting, procurement, and/or information systems/software.
Required Knowledge, Skills and Abilities
Knowledge of standard rules and interpretations within own functional area and a working knowledge of established methods and procedures used in related areas.
Significant nonstandard skill/knowledge involving production of an end product such as a report.
Basic word processing skills and Microsoft Word usage.
Basic math skills.
Basic skills in applicable Microsoft Office Suite software.
Ability to write simple documents.
Ability to process and integrate complex data.
Ability to establish and maintain effective working relationships with internal and external contacts.
Ability to perform data entry into Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems in at least three functions (e.g., create shells, accounts payable processing).
Minimum Qualifications
High school graduation and two years of experience providing administrative support in the assigned functional area(s).
Certificates and Licenses
Cardiopulmonary Resuscitation (CPR) certification – Required within 60 days.
AED certification – Required within 60 days.
Special Requirements
Completion of a criminal background check, a Child Protective Services Registry check, and a sanction screening.
Required to report for duty during inclement weather or other emergencies.
Preferred Qualifications
Three or more years of experience in a financial setting.
Experience utilizing SAP (FOCUS) or other related system executing transactions.
Three or more years of experience with employee travel (local and non-local), paying invoices and managing purchase orders.
Three or more years of experience reconciling detailed financial information between data sources and resolving errors.
Ability to prioritize and manage multiple tasks and communicate the status of pending work.
Desire to work in a team environment providing excellent customer service to internal and external customers.
Experience with file management.
Proficiency in the use of basic Microsoft Office Suite and other software applications.
Physical Requirements The job is generally sedentary but requires walking, standing, sitting, kneeling, reaching, bending, and climbing stairs. The employee may need to lift or carry up to 25 lbs occasionally. Visual acuity is required to read data on a computer monitor. The position often involves communicating with others verbally and in writing and may require occasional work outside the typical office setting. All duties can be performed with or without reasonable accommodations.
