Job Summary The Front Office Specialist (FOS) is responsible for providing exceptional customer service and support to WellStar's patients and customers. This includes greeting customers, registering patients at check‑in and check‑out, answering telephones, scheduling appointments, managing cash, and supporting administrative functions that enable our practice to achieve patient experience, employee engagement, and financial goals.
Core Responsibilities and Essential Functions
Customer Service:
Greet patients and guests warmly in person and on the telephone, following AIDET principles.
Answer incoming calls, direct them to appropriate personnel, take messages, and schedule appointments.
Communicate delays or wait times to patients, keeping them informed.
Collaborate with clinical staff and providers in a team approach.
Manage patient call wait times, respond to voicemails, and offer callbacks for extended holds.
Operations / Revenue Cycle:
Register and schedule patients, verify insurance eligibility in Experion, and capture all required paperwork.
Collect co‑pays and outstanding balances in compliance with the WMG LD90 cash management policy.
Maintain cash allowance, balance the daily cash bag, and reconcile superbills.
Check patients out, collect deductibles, set up payment arrangements, and schedule subsequent visits.
Contact patients for appointment reminders.
Administrative Support:
Coordinate with the clinic for pharmaceutical representatives, visitors, sample pick‑ups, and other requests.
Perform other duties as assigned by management.
Required Minimum Education High school diploma or equivalent.
Required Minimum License(s) and Certification(s) All certifications are required upon hire unless otherwise stated.
Required Minimum Experience 1–2 years of administrative front‑office experience in a physician practice or healthcare setting.
Preferred and Previous Experience Customer service experience.
Required Minimum Skills
Computer skills: proficiency with electronic health records.
Medical terminology and coding (CPT‑4, ICD‑9, HCPCS) – preferred.
Knowledge of insurance filing and requirements.
Strong verbal and written communication skills.
Positive attitude and ability to work in a team setting.
