About Inspira Counseling Center Inspira Counseling Center is a growing mental health practice serving a diverse community across Massachusetts. A large portion of the clients we serve are Spanish-speaking, and providing a warm, clear, and culturally responsive intake experience is essential to our care.
We are seeking a Bilingual (Spanish/English) Intake & Scheduling Coordinator to serve as the front door of our clinic.
About the Role This position requires daily communication with Spanish-speaking clients by phone. The Intake & Scheduling Coordinator gathers client information, schedules appointments, and ensures callers feel heard, supported, and guided appropriately during their first contact with the practice.
This is an in-person position at our West Springfield office.
Key Responsibilities
Answer inbound calls from new and existing clients in Spanish and English
Collect and accurately document demographic and contact information
Schedule, reschedule, and confirm appointments
Communicate calmly and compassionately with clients who may be anxious or distressed
Collect insurance information and identify potential eligibility or coverage issues
Escalate insurance verification to the appropriate team member when needed
Document intake information accurately in the electronic health record (EHR)
Maintain strict confidentiality and professional boundaries
Qualifications Required:
Fluency in both Spanish and English (spoken)
Strong phone-based communication skills
Experience in customer service or administrative support
High attention to detail and comfort following structured processes
Reliable, professional, and organized
Preferred:
1+ year experience in a healthcare front desk, intake, scheduling, or medical receptionist role
Familiarity with insurance-based healthcare environments
Experience collecting insurance information and recognizing coverage issues
Experience working with an EHR (TherapyNotes, SimplePractice, etc.)
Direct insurance verification experience is a plus but not required — training and support provided.
Compensation & Growth Starting pay typically ranges from $19.50–$20/hour for candidates who require onboarding and ramp-up
Up to $22/hour for candidates with strong, directly applicable healthcare intake experience
Structured performance reviews at 60 and 90 days with opportunity for pay increases based on role mastery
