This Senior Executive Assistant position provides full-spectrum administrative support to the Chief Operating Officer of UnitedHealthcare. The ideal candidate will demonstrate exceptional professionalism, sound judgment, and executive presence while managing a wide range of confidential and time-sensitive matters. This position requires a proactive and emotionally mature professional who can anticipate needs, balance competing priorities, and operate seamlessly in a fast-paced environment.
The role is based in Minnetonka, Minnesota, working in a hybrid model defined as four days per week in the office.
Primary Responsibilities
Provide administrative support to the Chief Operating Officer and other executives as needed in a manner consistent with the highest level of performance and professionalism while building effective relationships with other administrative assistants; operate as a team player and provide back-up support as needed
Maintain and update calendars; manage incoming scheduling requests, prioritize and communicate with all parties
Coordinate travel arrangements (domestic and international); provide flight/hotel information, itineraries, etc.
Submit travel expense reports timely and accurately
Organize meetings including scheduling and coordinating with remote participants, setting up resources and technology requirements (e.g., conference rooms, catering, and MS Teams)
Create and prepare meeting materials (e.g., PowerPoint presentations, spreadsheets and meeting agendas) and ensure distribution to meeting attendees in a timely manner
Review documents to ensure accuracy and quality and revise as needed
Manage office documents in accordance with enterprise records management procedures
Business Segment Liaison (BSL) duties - assist with on/off boarding employees, request for hardware, software applications and supplies within department standards and company procedures
Keep inventory of department office supplies and place orders for replenishment as needed

Required Qualifications
7+ years of administrative support experience
3+ years of executive assistant experience supporting C-suite leaders within a global, complex and fast-paced Fortune 500 organization
Experience managing multiple tasks/projects and deadlines simultaneously with attention to detail
Experience leveraging AI capabilities such as ChatGPT and Copilot to improve team efficiency
Experience coordinating travel arrangements and large meetings for senior leadership
Experience coordinating office moves including hardware and software requisitions, submitting expenses, new hire onboarding and other office management responsibilities
Advanced experience with MS Office applications (Word, Outlook, PowerPoint, and Excel)
Proven executive presence, professional demeanor and communication skills
Reside within commuting distance to Minnetonka, MN office

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $28.27 to $50.48 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
