Administrative Assistant

We are looking for a detail-oriented and proactive Administrative Assistant to join our team on a contract basis for 90 days. This hybrid position, based in Grand Rapids, Michigan, offers an opportunity to contribute to meaningful work within the healthcare and social assistance sector. The role requires excellent organizational skills and the ability to manage diverse administrative tasks effectively.

Responsibilities:

  • Communicate regularly with clients and landlords to address housing-related needs and maintain effective relationships.
  • Collaborate with the Line Manager and housing case workers to identify and support client housing requirements.
  • Collect, update, and maintain data on available housing options within the community.
  • Prepare and organize files, ensuring all necessary documentation is included.
  • Coordinate with property management companies as needed, without requiring on-site visits.
  • Perform general administrative duties and adapt to shifting priorities as required.
  • Attend the office up to two days per week while maintaining flexibility in task assignments.
  • Support reporting and documentation processes to ensure compliance with organizational standards.
  • Demonstrate professionalism and adaptability in handling various responsibilities.
  • Contribute to the successful operation of the team by working independently and collaboratively.

Requirements:

  • Previous experience in case management or social work is preferred, though not mandatory.
  • Proficiency in Microsoft Office and general administrative tasks.
  • Strong organizational and communication skills to manage interactions with clients and landlords.
  • Ability to work both independently and as part of a team.
  • A detail-oriented and adaptable approach to handling tasks with minimal supervision.
  • Familiarity with transitional housing and HUD processes is a plus.
  • Competence in filing, reporting, and maintaining accurate records.
  • Comfortable with hybrid working arrangements and occasional in-office requirements.
