Summary GSTV is seeking a high-performing Executive Assistant/Office Manager to support our CEO and Senior Leadership Team (SLT). The ideal candidate is polished, proactive, and an exceptional communicator—both written and verbal. This role demands sharp attention to detail, sound judgment, and the ability to engage confidently across all levels of the organization. This individual will also manage our New York office and will be a Culture Champion in partnership with HR for our New Team Members. Responsibilities Manages complex and detailed travel itineraries, calendars and schedules as required for the CEO and SLT. Screens incoming calls and correspondence. Manages all communications confidentially. Prepares the CEO expense reports, as well as organizes and collects all receipts. Supports the CEO in preparing presentations, board materials, and investor communications. Coordinates cross-functional follow-ups and tracks key action items on behalf of the CEO. Acts as a liaison between the executive office and internal departments as well as Board Administration to ensure timely communication and alignment. Acts as a gatekeeper as needed. Implements and improves processes that enhance efficiency in the executive office. Manages confidential digital assets, ensuring compliance with company data and privacy policies. Maintains corporate office maintenance and repair schedules. Organizes programs, events, or meetings by arranging facilities and caterers, issuing information or invitations, and controlling event budgets. Performs functions as the primary contact for the New York Office, liaising with building management and GSTV IT, stocking kitchen and office supplies, sending and receiving packages, coordinating and negotiating with vendors, handling mail, working lunches, internal/external meetings, conference room set up, supporting HR as needed. Acts as the Cultural Champion for the New York Office in support of Team Members. Leads by example. Performs NY office onboarding and offboarding as needed in collaboration with HR and IT, including building access and other general tasks. Requirements Minimum of 5+ years of prior executive level assistance. Knowledge related to basic marketing and/or administrative support functions. Highly detail-oriented with the ability to be flexible in quickly moving from one project to another. Ability to act with integrity, professionalism, and confidentiality. Strong problem-solving skills with an ability to anticipate needs and potential problems. Excellent verbal and written communication skills. Ability to read, analyze, and interpret general business materials. Ability to write business correspondence and prepare presentations. Terrific collaborator and team builder who respects confidentiality thoroughly. Reasoning Ability Ability to solve practical problems and deal with a variety of variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Solid analytical and problem-solving skills. Ability to prioritize tasks and anticipate needs and identify, improve and implement processes with little direction. Technical Proficiency Advanced proficiency in Word. Advanced proficiency in Excel. Advanced proficiency in Outlook. Advanced proficiency in PowerPoint. Additional Skills Strong work ethic, able to work well independently as well as part of a team. Excellent discretion, judgment and experience handling confidential data in a discreet and timely manner. Ability to prioritize and manage multiple and conflicting priorities. Positive demeanor, "can do" attitude, and willingness to roll up their sleeves in all working conditions. Ability to work additional hours as needed, sometimes on short notice; "24/7" mentality for handling off-hours travel and other issues that may arise.
