Join Our Team as a Division Executive Assistant at Epiroc!
The Division Executive Assistant supports division-level executives by managing critical administrative functions and enabling them to focus on strategic priorities. This role requires strong organizational, communication, and problem-solving skills, with an emphasis on anticipating needs, driving efficiency, and ensuring alignment across teams. The Executive Assistant acts as a trusted partner, maintaining professionalism, discretion, and adaptability in a dynamic, future-focused environment.
KEY RESPONSIBILITIES
Executive Support: Provide high-level administrative assistance to the Division President and leadership team, including calendar management, travel coordination, and document preparation.
Meeting Management: Coordinate, schedule, and prepare materials for division and cross-functional meetings; ensure agendas are aligned to priorities and that discussions remain focused and productive.
Action Tracking & Follow-Through: Capture key decisions, assign action items, and track progress to completion. Ensure accountability and timely updates to leadership.
Communication & Coordination: Serve as a central point contact for internal and external stakeholders; draft, edit, and distribute executive-level correspondence and presentations.
Operational Excellence: Streamline administrative processes, identify opportunities for continuous improvement, and proactively implement solutions that enhance efficiency.
Confidentiality & Integrity: Handle sensitive information with discretion and maintain a high degree of trustworthiness.
QUALIFICATIONS
Minimum of 5+ years of administrative experience supporting senior leaders, preferably in a global or industrial organization.
Proven ability to manage complex calendars, priorities, and projects simultaneously.
Strong skills in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with collaboration platforms (Teams, SharePoint, or similar).
Excellent written and verbal communication skills.
Demonstrated ability to think ahead, anticipate needs, and execute with precision.
