POSITION TITLE: Facilities Administrative Assistant BUILDING:
Grand Rapids Christian High School
CONTRACT:
Full-time, full-year, (some flexibility) hourly position per GRCS position classification scale
REPORTS TO:
High School Facility Manager
COORDINATES WITH:
Facilities Department, Building Staff, GRCS Central Office, Other GRCS Administrative Assistants
POSITION SUMMARY The Facilities Administrative Assistant helps cultivate a service oriented, welcoming environment between the facilities department and the rest of the school. This includes clear and positive communication with students, staff, and outside groups (rentals, contractors, suppliers), as well as management of the facilities department in schoolwide collaboration. The Facilities Administrative Assistant works closely with other school and district administrative assistants to ensure alignment between departments and building.
RESPONSIBILITIES
Warmly greets and assists students, staff and visitors
Signs in and directs contractors to appropriate locations to maintain building security
Manages campus schedule and rental policy in coordination with current schedulers
Answers phone calls and walkie talkie promptly with appropriate response/delegation
Sends out facilities announcements as needed
Manages outgoing and incoming mail and deliveries
Takes inventory of facility supplies and orders supplies to meet department needs
Maintains department-wide organization and efficiency
Maintains medical supplies and safety data sheets
Maintains records for facilities department and worker obligations
Tracks and organizes personnel storage
Corresponds with maintenance personnel regarding building issues
Serves as a responder for injuries or crises, maintains worker first aid contact
Schedules and notifies workers of shifts, contractors, and building usage
Maintains records for onboarding of all workers
Other duties as assigned by the Facilities Manager and Maintenance Supervisor
QUALIFICATIONS
Possesses a genuine love for and commitment to the Lord Jesus Christ, the cause of Christian education, and the work of Grand Rapids Christian High School and Grand Rapids Christian Schools.
Works well with others and flexibly interacts with diverse perspectives and backgrounds, interruptions, frustrations, and emergencies.
Creates and maintains a positive atmosphere within the facilities department (friendly, helpful, etc.).
Demonstrates a professional attitude with students, parents, staff, and administration.
Possesses outstanding secretarial, computer, and managerial skills including but not limited to: filing, scheduling, database, planning, organizing, communicating, and accuracy.
Communicates effectively both in writing and orally with an excellent knowledge of English language, grammar, and spelling.
Demonstrates initiative, uses time wisely, plans and organizes effectively
Possesses proficiency/confidence in software programs such as the Google Apps, and is willing to learn.
