Hours: Full-Time – 35 Hours
Work Location: 30-30 Thomson Avenue, LIC, NY 11101
Responsibilities
Perform daily reproduction tasks: high-volume copying, printing, finishing, binding, lamination, and basic quality checks.
Prepare and process documents for scanning (including large format); handle archival and historical drawings using proper preservation practices.
Log jobs, update status in the ticketing system (for example, Track-it), and notify requestors upon completion.
Support mailroom operations: intake, sort, route, and deliver mail and packages; follow chain‑of‑custody procedures (photo confirmation to recipient and signature on delivery).
Serve as acting lead when assigned (coverage during Supervisor absence) to keep daily workflows on track.
Receive and stage supplies (paper, toner, binders); monitor stock and prepare purchase requests; maintain simple inventory records.
Assist with daily/weekly/monthly production counts and basic Excel reports; keep shared spreadsheets and databases current.
Communicate with end users and partner units to meet timelines; escalation of risks or delays early.
Help create or maintain quick reference guides for equipment use and safe handling; participate in cross‑training.
Assist with special projects and records tasks (e.g., categorizing contract books, change orders, drawings, and payment records, creating electronic links for retrieval).
Authorization to work in the United States is required.

Minimum Qualifications
High school graduation or equivalent and three years of experience in community work or community‑centered activities in an area related to duties described above; or
Education and/or experience which is equivalent to “1” above.
Preferred Skills Candidate should possess strong attention to detail, organization, and customer service. Be proficient with Microsoft Excel and PowerPoint. Ability to lift and move boxes of paper and supplies as needed. Experience in a print/reproduction center and/or mailroom environment.

Residency Requirement: New York City residency is generally required within 90 days of appointment.
