Responsibilities:

Greet visitors, controls access to entry and exit at center, must maintain post a front desk answer the telephone, screen/direct calls, take and relay messages. Provide information to employees, applicants, and vendors. Collaborate with site-based leadership to provide assistance to include calendaring, screening calls, planning, coordinating and scheduling needs. Provide directions and help visitors reach office or other location.

Essential Duties and responsibilities include the following:

Greet families, children, visitors, and staff in a friendly and professional manner.

Monitor and manage visitor sign-in/sign-out procedures and ensure proper identification is checked.

Provide clear, timely communication to parents and guardians regarding schedule changes, events, and policies.

Distribute newsletters, forms, and program information to families as needed.

Maintain front office and reception area, ensuring cleanliness and organization.

Attend professional development to remain current with federal and state special education guidelines.

Conduct morning, lunch, and afternoon duties during assigned times.

Provide KTTT parents and communities with resources, support, parent education and referrals.

Answer telephone, screen and direct incoming phone calls while providing basic information when needed.

Take and relay messages effectively and accurately.

Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

Transfers phone calls to designated departments after the appropriate screening process has been followed.

General administrative and clerical support such as, filing, photocopying, faxing etc.

Schedule, maintain, confirm and update appointment calendars when requested.

Post Information and Flyers approved by Administration.

Maintain databases up to date in the information and bulletin boards as assigned.

Communicate verbally and in writing to answer inquiries and provide information.

Coordinate the flow of information both internally and externally.

Responsible for creating front office supply order and relaying information to the appropriate parties for ordering.

Responsible for helping maintain clean and orderly work rooms and ensure all center copiers have paper every morning.

Additional duties as assigned.

Perform such other tasks as may be assigned from time to time by supervisor.

Knowledge, skills and abilities for the position:

Mathematics: Ability to perform simple arithmetic for demonstrative calculations.

Language & Communication: Ability to read, write, speak and understand English, and communicate effectively with others.

Ability to understand, provide and follow written and verbal direction.

Attention to detail and accuracy.

Ability to manage and maintain security of confidential data and information.

Ability to exercise independent and sound judgment.

Cultural awareness of and sensitivity to Kickapoo traditions, religious beliefs and way of life.

Participate in workshops, seminars, and conferences to enhance knowledge and skills.

Provide knowledge, and support to staff, students, parents regarding mission, values, standards, policies and procedures, confidentiality standards, Employee expectations, and code of ethical behavior.

Ensure compliance with all state and federal laws (when applicable), local tribal policies, administrative guidelines, and the Texas Educators’ Code of Ethics.

Serve as appropriate role model for KTTT District colleagues, students, staff, and parents.

Conduct self in a professional manner at all times.

Ability to perform a variety of tasks, often changing assignments on short notice, with little to no direction.

Ability to communicate effectively and appropriately with others.

Education/experience requirements: Minimum Qualifications:

A minimum of 30 college credit hours with an emphasis on education or a related discipline is preferred, or alternatively, at least two years of experience in a professional or customer service environment.

Preferred Qualifications:

Associate’s degree in office administration, education, or a related field. Previous experience working in a school or educational office setting. Knowledge of school district policies, procedures, or terminology.

Disqualifying Criteria: Regulations implementing the Indian Child Protection and Family Violence Prevention Act require an individual to be denied employment if he or she has been convicted of any felony, or any two or more misdemeanor offenses, under Federal, State, or Tribal law involving crimes of violence, sexual assault, molestation, exploitation, contact or prostitution, crimes against persons, or offenses committed against children.
