Position Summary JCCC inspires learning to transform lives and strengthen communities. This position supports this mission by providing administrative support to the Dining Assistant Director (and Dining Services staff as assigned) including processing inventory receiving/vendor invoice transactions, assisting with monthly inventory count sheets, monitoring/confirming inventory activity/balances, and maintaining vendor relationships.
Required Qualifications
High School Diploma and 3+ years experience processing vendor invoices and related transactions.
Preferred Qualifications
Associate’s Degree, previous inventory management experience.
Position Details (Job duties include but are not limited to)
Inventory Transaction Processing: Match receiving documentation to vendor invoices and ensure proper coding in the inventory system. Provide completed documentation to Dining Accounting for accounts payable processing. Review Dining staff p‑card reports and supporting documentation to verify correct coding for inventory and non‑inventory items.
Inventory Management & Reconciliation: Support and assist with inventory counts, including entering inventory count sheets into the inventory system; monitor assigned inventory activity and balances; conduct sample testing to reconcile inventory system reports to physical on‑hand inventory at various locations; assist with processing transfer‑out inventory transactions and ensure proper accounting treatment.
Administrative & Operational Support: Provide administrative support to the Assistant Director and other Dining Services staff. Prepare reports, support training, and assist with process improvement initiatives.
Vendor Relations & Issue Resolution: Assist with maintaining vendor relationships and resolving issues. Address invoice discrepancies, disputed amounts, and tax‑exempt documentation needs.
Other duties as assigned.
