Job Description Ares Management is seeking a Receptionist and Administrative Assistant for our Corporate Services Department to provide front desk and office services support to staff, clients and vendors in our New York office, in addition to providing administrative support to professionals.
Primary Functions And Essential Responsibilities Receptionist – Front Desk Responsibilities
Open and close reception front desk (8:30 AM – 5:30 PM)
Ordering supplies and responding to facilities related requests
Act as a "go to" point of contact for clients and guests
Answer incoming calls and route them to the appropriate parties
Answer emails regarding facilities and needs of the office
Monitor front reception area
Reserve visitor offices and oversee communal office and meeting spaces
Reserve conference rooms and coordinate with external catering companies to provide catering for meetings
Administrative Assistant Responsibilities
Provide extensive administrative support for professionals: book travel, schedule meetings, prepare expense reports, assist in creating binders, and other general administrative needs.
Prioritize Outlook calendars for various levels of professionals, informing them of meeting changes and keeping them on schedule throughout the day.
Arrange catering as needed.
Register professionals for conferences and networking events.
Handle other ad‑hoc requests as needed.
Provide backup support for other administrative professionals in the Collaboration team, including all administrative tasks for each of their primary professionals.
Qualifications Education: Bachelor’s Degree or equivalent work experience required.
Experience Required: 2‑3 years of experience in a receptionist and administrative role, preferably in a corporate environment.
General Requirements
Knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
Excellent telephone etiquette
Professional demeanor and appearance
Ability to provide exemplary service to clients and co‑workers
Excellent verbal and written communication skills
Well‑organized, with strong attention to detail
Ability to prioritize work and handle multiple tasks simultaneously
Flexibility in accepting process changes, variable work volume and new ideas
Team player with the ability to work with diverse personalities
Knowledge of Concur a plus
Reporting Relationships Administrative Manager
Compensation The anticipated rate for this position is $65,000 – $75,000. Total compensation may also include a discretionary performance‑based bonus.
