Responsibilities
Perform a variety of non-clinical administrative support tasks including scheduling, coordination, and follow-up for meetings, events, and professional travel.
Manage calendars; prepare documents and presentation materials; process invoices and reimbursements.
Compose and/or transcribe correspondence/documents; support departmental projects and activities.
Create and maintain websites, web pages, databases, spreadsheets, and social media accounts.
Answer telephones and provide related follow-through; exhibit initiative and adaptability.
Demonstrate strong organizational, communication, and interpersonal skills with a commitment to quality and excellence in service.
Show proficiency in computer hardware and software, telecommunication, and other office equipment; navigate multiple systems simultaneously.
Ensure accuracy and completeness with attention to detail.
Qualifications
High school diploma or GED with a minimum of two years’ experience in an administrative support role, or one-year degree/diploma in an administrative, business, or medical-related program with at least one year of relevant experience, or an associate's degree in an administrative, business, or medical-related program.
Experience performing meeting management and calendar coordination, creating/transcribing correspondence/documents, and using business-related software to produce databases, spreadsheets, presentations, etc.
High-level skills in organization, customer service, professionalism, interpersonal relations, written and oral communication, and ability to prioritize and shift tasks quickly in a rapidly changing environment.
Effective decision-making, judgment, confidentiality, attention to detail, and follow-through.
Experience with coordination of travel and expense management.
Proficient application of English grammar, punctuation, and sentence structure.
Support division/department chairs and managers with meeting coordination, agenda preparation and distribution, meeting minutes, event planning, recruitment efforts, visitor travel itineraries, expense reimbursement, and other non-clinical support tasks.

Schedule Details Start time of 7:30 or 8:00 am. After successful completion of training, employee may telework as able per business need, typically 2-3 days per week. Mayo Clinic does not sponsor or transfer visas for this position. Mayo Clinic DOES NOT participate in the F-1 STEM OPT extension program.
