Administrative Assistant II – First Year Experience
Join a dynamic team dedicated to first‑year students and new‑student orientation. As an Administrative Assistant II in the First Year Experience & Orientation (FYE) department, you will provide high‑touch support across all three CSN campuses, primarily stationed at the Henderson Office.
Responsibilities
Utilize a student‑centered approach in everyday duties and interactions.
Promote inclusiveness and belonging with diverse students and colleagues.
Perform front desk/receptionist duties at the Henderson campus with flexibility to travel to other campuses as requested.
Answer incoming phone calls and address callers' needs/relay information as appropriate; respond to requests for information.
Explain FYE and Orientation program details and respond to questions.
Maintain student FYE data and other office records while complying with FERPA laws.
Monitor department email and respond to incoming mail; compose and send emails to students and others.
Schedule meetings, prepare agendas and action items, take meeting minutes, and distribute written summaries.
Maintain complex databases and spreadsheets.
Maintain inventory of supplies and equipment.
Prepare and type required documents and schedule interviews.
Organize and coordinate workload independently among deadlines and shifting priorities.
Assist FYE team needed and complete tasks/special projects requested.
Utilize empathy, active listening, and de‑escalation skills with students in distress.
Follow protocol for notifying supervisor in emergencies as needed.
Perform other related duties as assigned.
Minimum Qualifications
Graduation from high school or equivalent education and two years of clerical/administrative support experience, including record‑keeping, preparing materials on a PC, assisting customers with forms, or secretarial duties.
Or one year of experience as an Administrative Assistant I in Nevada State service.
Or an equivalent combination of education and experience.
Preferred Qualifications
Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience working in a community college or student services environment.
Demonstrated ability to work effectively with a diverse and multicultural student population and/or workforce.
Knowledge of Student Information Systems.
Excellent communication, interpersonal skills and office etiquette.
Ability to work independently and manage multiple deadlines.
Problem‑solving skills.
Weekly Hours Monday – Friday, 8:00 a.m. – 5:00 p.m.; occasional weekend or evening work may be required.
Travel Travel between all three CSN campuses may be required.
Salary Range Classified Grade 25, Step 1 – $42,636.96
