In the role of Administrative Assistant, we'll count on you to:
Play a supportive role in the day-to-day facilitation of studio tasks
Assist with Architecture Staff Meetings scheduling and email communication, ordering and setting up food, and creation of PowerPoint slides
Provide coverage for Reception desk up to 3 days per week (two 10-minute breaks and one hour lunch): answer and direct telephone calls, deliver messages, greet employees and visitors, and distribute mail
Schedule and order food for Lunch and Learns with outside vendors
Assist Los Angeles Admin team with larger Los Angeles office events
Assist with Architecture email communications
Complete word processing as needed, including letters, memos, meeting minutes, reports, and labels; proofread and edit documents for grammar, spelling, punctuation, and format
Order office supplies for project orders; provide list of general office supplies needed to Receptionist to order
Maintain Architecture supply closet and equipment check out
Prepare travel arrangements and expense reports for select staff
Clean and setup workspaces for Architecture new hires
Perform other duties as needed
Preferred Qualifications
Required Qualifications
High School diploma or equivalent
Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
Self-motivated, well-organized and detail-oriented
Ability to handle confidential information
Proficiency with MS Office including Word and Outlook
An attitude and commitment to being an active participant of our employee-owned culture is a must
