Primary Purpose: Direct and manage all operations of the high school registrar's office. Ensure the accurate maintenance of student transcripts, enrollment and withdrawal processes, academic achievement records, permanent cumulative files, and all associated data reporting. Input, verify, and maintain student information for state and district systems, including PEIMS and state testing data. Provide professional clerical, data, and customer‑service support to campus administration, counseling, and instructional staff while maintaining confidentiality and compliance with state and federal requirements.

Qualifications Education / Certification: High school diploma, advanced clerical training courses.

Special Knowledge / Skills:

Knowledge of school district organization and operations preferred.

Proficient in typing, word processing, file maintenance, computers, and general office equipment.

Strong communication, organizational, and interpersonal skills.

Working knowledge of software applications for word processing, spreadsheets, and basic accounting/bookkeeping systems.

Ability to manage and verify large volumes of detailed student data rapidly and accurately.

Knowledge of PEIMS and state data reporting preferred.

Experience: Minimum of two years general office experience; three years preferred. Experience working with student records in a public‑school environment preferred.

Registrar Office Operations

Manage and evaluate the procedures and daily operations of the high school registrar's office.

Maintain office equipment and ensure proper maintenance, care, and usage of all materials.

Maintain confidentiality of all student, staff, and campus information.

Promote positive school/community relations in all interactions.

Demonstrate dependability, reliability, poise, professionalism, and appropriate grooming and dress.

Perform other duties as assigned by the principal.

Student Records Management

Maintain permanent cumulative student records in accordance with state and district requirements, including transcripts, academic history, test records, and demographic data.

Create permanent records for new students; obtain and post grades and records from previous schools.

Maintain records of enrollments and withdrawals, including documentation of reasons for withdrawal.

Maintain secure auditable documents; store, archive, microfilm, and dispose of obsolete records in compliance with records management guidelines.

Act as campus records liaison officer and develop records control schedules.

Maintain student college application files and post‑secondary records tracking systems.

Generate correspondence regarding transcript requests and respond to parents, former students, colleges, and agencies.

Issue all transcripts, including posting grades from summer school, credit‑by‑exam, correspondence courses, dual credit, and other programs.

Determine and verify class rank and GPA; submit GPA/rank for college admissions, scholarships, and honor societies.

Enrollment, Registration, and Scheduling

Supervise student enrollment processes, ensuring all documentation (social security, immunization, birth certificate, proof of residency, withdrawal forms) is accurate and complete.

Verify accuracy of all student demographic and enrollment data.

Oversee student scheduling data and assist in preparation of campus master schedule as assigned.

Transfer grades for students who enroll after the semester begins.

Process guardianship paperwork, transfer requests, and special enrollment considerations.

Data Management & PEIMS / State Reporting

Prepare, maintain, and verify all PEIMS data related to student demographics, attendance, schedules, credits, and special program participation.

Input student data, course data, and state testing information; maintain up-to-date testing records including no‑mastery reports.

Maintain accurate and auditable data for special programs; ensure program coordinators verify and approve data.

Attend all district or state data services workshops and updates.

Research district policies, precedents, and practices when handling student data or making data‑related decisions.

Academic Records, Credits, & Eligibility

Verify student course credits and grade‑level promotion.

Evaluate transcripts from other institutions and credit sources.

Manage the credit‑by‑exam process.

Prepare and issue progress reports, report cards, grade sheets, class rosters, error reports, failure reports, and demographic labels.

Prepare UIL eligibility reports and maintain related credit records.

Verify eligibility for National Honor Society, honors waivers, and other academic recognitions.

Graduation & Postsecondary Support

Certify students for graduation; prepare diplomas and maintain permanent graduation files.

Assist in planning and preparation for graduation ceremonies.

Provide enrollment and insurance verification letters as requested.

Support counselors and administrators by preparing student‑specific academic data, reports, and documents related to post‑secondary planning.

Communication & Customer Service

Maintain professional, customer‑service‑focused interactions with all stakeholders, including families, students, staff, and higher education partners.

Respond professionally to inquiries regarding student enrollment, records, transcripts, and post‑secondary documents.

Maintain positive and professional tone in all written and verbal communications.

Work cooperatively with counselors, administrators, teachers, and district personnel to meet campus goals.

Professionalism and Continuous Improvement

Use time efficiently to meet deadlines for data submission and reporting.

Maintain punctuality in daily work times, meetings, and appointments.

Participate in professional learning to support continuous growth.

Actively engage in actions that support district mission, goals, and strategic plans.

Compensation: Minimum $17.30, Midpoint $20.85; salary commensurate with experience.

Benefits: The district contributes $400/monthly to employee‑only health insurance, exceeding the state required amount of $225/monthly.
