GENERAL DESCRIPTION Under general supervision, this position provides high-level administrative support to attorneys and clients, maintaining professional communication and ensuring timely completion of tasks such as document preparation, electronic filing, calendar and deadline tracking, and overall practice support.

EDUCATION & EXPERIENCE

High school diploma or equivalent required

Minimum of three (3) years of experience as a Legal Assistant or Legal Secretary.

Minimum of two (2) years of experience in Estate Planning or related Business Industry.

KNOWLEDGE, SKILLS, & ABILITIES

Strong typing, formatting, proofreading with meticulous attention to detail

Familiarity with estate planning processes and legal terminology.

Exceptional organization, time management, communication skills

Ability to manage calendars, deadlines, multiple priorities effectively

Works independently while collaborating with a team

Responsive to time‑sensitive demands; flexible to work beyond regular hours when needed

Proficient in Microsoft Office; experience with iManage, Aderant, Interaction, PreBill Manager is a plus

Expertise in legal document preparation, transcription, editing (typing speed 70 wpm)

ESSENTIAL DUTIES AND RESPONSIBILITIES

Prepare and edit legal documents, correspondence, reports, and internal forms accurately and efficiently.

Transcribe from dictation or handwritten material; draft, format, modify documents per attorney instructions.

Maintain calendars, schedule meetings, appointments, monitor filing deadlines.

Handle phone calls and visitors professionally, directing inquiries appropriately.

Coordinate travel arrangements and submit expense reports for attorneys and team.

Assist with pre‑bill review and edits to meet billing deadlines.

Perform administrative tasks such as e‑filing, tables of authorities/contents, managing Excel/PowerPoint, formatting documents.

Handle tasks like scanning, copying, docketing, mail distribution, time entry, file maintenance as needed.

Support attorneys and assistants during high‑volume periods or absences.
