Job Responsibilities

Perform legal administrative duties under general supervision on behalf of assigned attorneys or the section. Duties include preparing, processing, and maintaining legal documents, mail, and records; running errands and administrative details normally assigned by attorneys.

Prepare routine correspondence and pleadings for review and signature of attorneys; create and maintain standard form documents of legal correspondence and pleadings.

Proofread and process attorneys' work product under direction of assigned attorneys and section supervisor, making physical and digital copies of prepared and signed documents, and ensuring physical and/or electronic mail service is completed as directed.

Process and distribute incoming mail; manually update mail logs, calendars, case management and document management systems; physically deliver incoming mail to attorneys and outgoing to appropriate pick‑up points; promptly advise the victim’s advocate division of any development or status of assigned cases by updating the case management system.

Assist with telephone reception in the section; screen and transfer calls appropriately; prepare written messages and deliver them personally when appropriate.

Represent assigned attorneys in communications with public officials, solicitors, judges, court staff, private individuals, and government agencies.

Maintain current knowledge and information regarding legal formats, points of contact, addresses etc. to ensure efficient handling of assigned work.

File documents in appropriate case files, keep case files orderly in the file room, and close files promptly. Includes physically inserting and removing material from files and handing closed files to the file coordinator.

Handle reasonable requests or tasks issued by the administrative coordinator or section supervisor, including auditing physical and digital files, and maintaining spreadsheets in Microsoft Excel.

Minimum Requirements Bachelor’s degree with meaningful legal or administrative work exposure, OR high school diploma with four years of legal or administrative experience.

Additional Requirements

Frequent stooping and/or bending.

Frequent lifting of 25 lbs.

Preferred Qualifications

Excellent typing and organizational skills and ability to prioritize multiple demands.

Working knowledge of Microsoft Office products, primarily Word and Excel.

Proficiency with Adobe Acrobat.

Detail‑oriented, good interpersonal and communication skills, reliable, positive attitude.

Proactive, able to begin routine tasks without being asked and adaptable to attorneys' preferences.

Prior experience as a legal assistant is helpful.

Knowledge of office management principles, policies and practices.

Knowledge of relevant terminology, laws, regulations, policies and organizational functions.

Capability to plan and organize work activities and prioritize task completion according to schedules and goals.

Effective communication skills.

Judgment and discretion in interpreting and applying policies and procedures.

Additional Comments DRUG SCREENING, CREDIT CHECK, DELINQUENT TAX CHECK, SLED BACKGROUND CHECK, AND GRIEVANCE CHECK REQUIRED.
