Core Responsibilities Case Management & Litigation Support
Maintain full ownership of assigned litigation caseloads (deadlines, tasks, pleadings, discovery, client contact).
Draft and file pleadings and routine litigation documents (e.g., notices, motions, proposed orders) under attorney supervision.
Prepare service packages and coordinate service of process; track returns and follow up as needed.
Manage litigation calendars: hearings, mediations, depositions, expert deadlines, discovery cutoffs, and trial dockets.
Coordinate with court personnel, opposing counsel, vendors, and process servers.
Discovery & Evidence
Draft discovery requests/responses (initial disclosures, interrogatories, requests for production, requests to admit) and related correspondence.
Organize discovery production: collect, bates-stamp, index, QC, and transmit productions timely and defensibly.
Track outstanding discovery, including requests for copies, and timely follow up on deficiencies; prepare deficiency letters and documentation.
Create witness/exhibit lists, trial binders, deposition prep materials, and hearing packages’
Medical Records, Damages & Case Development
Oversee the records and evidence collection efforts of case management team. This requires paralegal to audit, track, and follow up on requests for medical records/bills, EMS, imaging, wage loss, and other evidence.
Use the firm’s AI technologies to summarize medical treatment chronologies and maintain updated damages spreadsheets.
Identify gaps in treatment records and flag issues (causation concerns, pre-existing conditions, missing providers) to attorneys.
Client Communication & Service
Serve as a primary point of contact for clients regarding litigation status, upcoming events, and document needs.
Prepare clients for depositions/IME/mediation logistics (scheduling, document requests, reminders).
Maintain empathetic, professional communication, especially with injured clients and families.
Settlement / Mediation Support (as assigned)
Create mediation binders, in-lit demand packages, and settlement documentation.
Coordinate lien/benefit information (health insurance, Medicare/Medicaid, ERISA, PIP, subrogation) and track status.
Quality, Compliance & Team Contribution
Ensure accurate, complete case notes and task documentation in the case management system.
Maintain confidentiality and comply with firm policies, court rules, and ethical requirements (no legal advice).
Support team coverage during trial weeks, PTO coverage, and urgent deadlines as needed.

Required Skills & Competencies
Strong litigation knowledge: deadlines, discovery, filings, and court procedures (state and/or federal preferred).
Excellent written communication (drafting, proofreading, professional email tone).
High organization: task management, calendar discipline, document indexing, and naming conventions.
Tech-forward: confident learning and using legal software (case management, e-filing, e-signature, OCR/PDF tools, data, and AI-based summarization tech).
Client service mindset, professionalism, and emotional intelligence.
Ability to handle sensitive information with discretion.
Preferred Experience & Education
3+ years as a litigation paralegal (PI strongly preferred).
Paralegal certificate, Associate’s/Bachelor’s degree, or equivalent experience.
Florida state court e-filing experience (or jurisdiction-specific equivalent).
Trial prep experience is a plus.
