You’ll help manage filings, coordinate with attorneys and inventors, monitor deadlines, and keep our docket running like clockwork. In time, you’ll grow into a critical operations partner who keeps global IP filings clean, accurate, and ahead of schedule.

What You Will Do
Docketing and Deadline Support
Enter, update, and monitor U.S. and foreign patent and trademark deadlines in our internal docketing system
Track incoming office actions, formalities, filing requirements, and priority deadlines
Send internal reminders and status updates so nothing slips
Flag discrepancies early and help resolve them with the team
Patent Intake and Filing Coordination
Support new matter intake, including logging cases and organizing filing materials
Coordinate with inventors and clients to gather required documents and signatures
Assist with preparing filing packets and reporting materials for attorney review
Review filings for accuracy and ensure required supporting documents are in place
Client and Foreign Associate Communication
Communicate professionally with clients, inventors, and foreign associates
Confirm receipt of documents and follow up on missing items
Maintain clean correspondence records and accurate contact details
File and System Management
Save, label, and file documents into our internal legal system with precision
Maintain organized electronic matter files that attorneys can rely on
Assist with light administrative tasks tied to case workflow and reporting
Requirements What We Are Looking For
0 to 2 years of experience in legal support, docketing, operations, or administrative coordination (internships count)
Strong interest in intellectual property law
Interest or background in chemistry, biology, pharma, or life sciences is a plus
Accuracy obsessed and naturally detail oriented
Comfortable working with complex timelines and high stakes deadlines
Clear writer and confident verbal communicator
Strong organizational skills and time management
Tech comfortable and efficient in Microsoft Outlook, Word, Excel, and learning new systems
Professional, discreet, responsive, and reliable
Compensation and Benefits
Base salary range: $48,000 to $62,000 depending on experience
Bonus eligible based on billable hours
Overtime eligible for hours over 40 per week
