Are you an organized and detail-oriented professional with a passion for supporting the smooth operation of healthcare facilities? We are seeking a part-time reliable and dedicated front office assistant to join our growing physical therapy clinic.

Montana Spine & Joint Rehab is a well-established physical therapy clinic dedicated to providing exceptional care and personalized service to our patients. Our clinic offers a welcoming and supportive environment where patients receive comprehensive rehabilitation services to improve their health and well-being.

Position Overview

As a front office assistant, you will be responsible for overseeing the day-to-day administrative operations of our clinic. You will play a vital role in ensuring efficient patient scheduling, maintaining accurate records, and providing excellent customer service to our patients and visitors.

Part-time hours are available 15-18 hours a week. Frequent afternoon schedule with occasional all day coverage.

Responsibilities

- Greet patients and visitors, answer phone calls, and respond to inquiries in a professional and friendly manner.

- Schedule patient appointments and coordinate with therapists to ensure smooth patient flow.

- Verify insurance coverage, obtain necessary authorizations, and process billing and payments accurately.

- Maintain electronic medical records (EMR) and ensure compliance with HIPAA regulations.

- Assist with administrative tasks such as filing, scanning, and data entry.

- Order office supplies, manage inventory, and ensure equipment is well-maintained.

- Collaborate with therapists and other team members to address patient needs and resolve issues.

- Provide administrative support to clinic management as needed.

Qualifications

- High school diploma or equivalent.

- Previous experience in a medical office or healthcare setting is desirable.

- Ability to learn electronic medical records (EMR) systems.

- Excellent organizational and time management skills with a strong attention to detail.

- Outstanding communication and interpersonal abilities.

- Ability to maintain confidentiality and handle sensitive information with discretion.

- Positive attitude, willingness to learn, and a team-oriented mindset.
