Associate Recruiting Coordinator
The Associate Recruiting Coordinator reports to the Senior Talent Acquisition Specialist with dotted line reporting to the Senior Technical Recruiter. The successful individual in this role will support our hiring efforts with a focus on scheduling interviews, coordinating onsite visits, providing an exceptional candidate experience, and working alongside our Recruiting Coordinator on the internship program. He or she will also assist with administrative tasks to ensure a smooth and efficient recruitment process.
This position is based at Silvus Technologies' headquarters in the heart of vibrant West Los Angeles, CA, and is on a hybrid schedule; a minimum of 3 days onsite per week is expected. On-site days are Mondays, Wednesdays, and Thursdays.

Role and Responsibilities
- Support the Recruiting Coordinator in scheduling interviews for entry- to mid-level roles, ensuring seamless coordination among the candidate, hiring manager, and interview panel.
- Ensure clear communication with candidates about interview details, providing timely logistical information and necessary preparation materials.
- Proactively identify and resolve scheduling conflicts while maintaining a high level of responsiveness and organization.
- Keep Recruiters informed about any scheduling issues, last-minute changes, or candidate-related concerns or blockers to ensure seamless communication. This includes keeping Recruiters copied on internal and external communications.
- Work with the Recruiting Coordinator to facilitate, coordinate, and assist candidates with airline travel, hotel accommodation, and reimbursements, if necessary.
- Ensure visitor forms are completed and submitted on time for all onsite candidate interviews.
- Greet, escort, and assist candidates during onsite interviews, ensuring a positive and professional candidate experience. This includes ensuring conference rooms and meeting spaces are reserved for all onsite interviews.
- Serve as the primary point of contact for the candidate and the interview panel, addressing any questions, concerns, or changes that may arise throughout the interview process.
- Handle ad-hoc recruiting tasks, special projects, and events to support the overall hiring process.
- Perform other related duties, of which the above are representative.
Required Qualifications
- High School Diploma or GED, plus one 1 year of experience in a scheduling or coordinator role.
- Experience with high-volume scheduling and coordination.
- Must be proficient in Gmail and Google Calendar and its scheduling features.
- Experience with video conferencing systems (e.g., Zoom or Google Meets) and ability to troubleshoot when issues arise.
- Experienced with Google Workspace (Sheets, Docs, Drive, etc.).
- Exposure to applicant tracking systems (e.g., Workday, Greenhouse, etc.).
- Ability to manage multiple priorities, meet deadlines, and maintain strong attention to detail.
- Able to independently troubleshoot and resolve scheduling issues and conflicts.
- NOTE - Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
- All employment is contingent upon the successful clearance of a background check.
Preferred Knowledge Skills and Abilities
- Experience in project management and the ability to track tasks to ensure nothing falls through the cracks.
- Comfortable handling last minute changes and shifting priorities.
- Excellent time management and oral/written communication skills.
- Ability to work effectively as a team player and independently with minimal guidance.
- Demonstrated commitment to professional development.

Compensation
$28.85 33.65 / hourly rate USD
Basic Requirements
