$26.44/hr - $31.25/hr POSITION TITLE : Accounts Payable Specialist DEPARTMENT : Finance Department REPORTS TO : Finance Director STATUS : Nonexempt Regular Full- Time (40 hours/week) SUMMARY The Accounts Payable Specialist is responsible for ensuring the timely and accurate processing of vendor invoices, employee reimbursements, and other financial transactions. You will also play a key role in maintaining positive vendor relationships, managing payment schedules, and ensuring compliance with company policies and procedures. RESPONSIBILITIES : Process and verify vendor invoices and employee reimbursement requests. Ensure that all invoices are approved and coded accurately according to the appropriate program and grant codes. Reconcile accounts payable ledger to ensure that all payments are accounted for and properly posted. Prepare and issue payments to vendors, clients, and employees, and pay credit card balances in a timely manner (petty cash, cashier’s checks, checks, ACH, or wire transfers). Maintain accurate records of all accounts payable transactions. Monitor and resolve discrepancies or issues related to vendor invoices and payments. Assist in month-end and year-end closing processes, ensuring timely and accurate financial reporting. Manage and update vendor contact information, contracts, and payment terms. Ensure vendors meet Federal Procurement requirements. Prepare reports on accounts payable activities as requested by management. Assist in the preparation and coordination of internal and external audits as it relates to accounts payable. Collaborate with other departments to resolve any issues or concerns related to accounts payable. Monitor stale checks and manage unclaimed property. Stay up to date on industry regulations, accounting standards, and company policies to ensure compliance. Assist with audits and provide supporting documentation as needed. Identify areas for improvement in accounts payable process and implement strategies to increase efficiency and reduce costs. Perform other duties as assigned by the Finance Manager or Sr Accountant. MINIMUM QUALIFICATIONS : Associate’s degree in Accounting, Finance, or related field (preferred). Minimum of 2-3 years of experience in accounts payable or accounting. Strong knowledge of accounts payable processes and procedures. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software (experience with MIP Abila preferred). Excellent attention to detail and organizational skills. Strong communication skills, both verbal and written. Ability to work independently and manage time effectively to meet deadlines. Ability to handle sensitive information with discretion and maintain confidentiality. Knowledge of general accounting principles and practices. PHYSICAL REQUIREMENTS : Adequate visual skill and manual dexterity for computer and other data-related tasks Able to sit for long periods of time.
