We are looking for an amazingProject Coordinator, Fleet HRto fill this role, which is based in remotely in the East Coast. The Project Coordinator, Fleet Human Resources plays a pivotal role in managing Fleet HR projects and initiatives from start to finish, ensuring alignment with organizational goals and compliance with Maritime Labor Convention 2006 and Brand Procedures within Global HESS. Key responsibilities include developing policies, guidelines, standard operating procedures (SOPs), programs, and tools that support both shipboard HR Officers and the shoreside Fleet HR team. The coordinator also oversees project components and timelines, collaborates with project leads and stakeholders, and supports tracking of HR-related issues, fleet actions, complaint trends, and analytics. Additionally, the role manages the Employee Relations email account and contributes to continuous improvement of our HR processes and systems.

Responsibilities
Design and implement policies, guidelines, standard operating procedures (SOPs), programs, and tools to support shipboard HR Officers while upholding HR compliance and Brand Procedures within Global HESS.
Break down complex projects into manageable components, organize deliverables, and ensure steady progress across all phases
Monitor and update HR project and policy action plans regularly to ensure timely delivery, alignment with objectives, and adherence to scope and budget requirements.
Facilitate collaboration among project leads, team members, and stakeholders to maintain alignment and momentum.
This includes scheduling and managing meetings, documenting outcomes, and escalating potential issues to leadership as needed.
Work closely with both shoreside and shipboard personnel to ensure smooth execution and support of HR initiatives across the fleet.
Conduct ongoing research on key HR topics and emerging technologies, with a focus on integrating artificial intelligence (AI) into project management, process optimization, and data management and reporting.
Contribute to the development and continuous refinement of best practices that keep the Fleet HR team informed, agile, and equipped to leverage AI tools effectively in a dynamic environment.
Maintain project timelines and integrate feedback from HR Officer one-on-ones, HR calls, and Captain check-ins.
Proactively address delays and provide administrative support to the department, including conducting one-on-one sessions with shipboard HR Officers as needed.
Manage the Employee Relations inbox as the central contact point for shoreside HR inquiries.
Responsibilities include triaging and prioritizing messages, ensuring timely and professional responses, and escalating sensitive or complex matters to the appropriate HR Business Partner or department.
Log and monitor employee complaints and concerns, ensuring accurate documentation and timely follow-up.
Analyze trends in reported issues to identify recurring themes, escalate critical matters appropriately, and support the development of proactive HR strategies and interventions.
Requirements
Bachelor’s degree in human resources, Information Systems, Computer Science, Business Administration or related work experience required
5+ years of project management experience
5+ years of experience in Human Resources and/or Human Resources Information systems
Demonstrated strength in project management, data analysis, presentation, and prioritization, with a proven ability to drive operational objectives to successful completion
Shipboard knowledge is an advantage
Proficient with MS Office Products (Word, PowerPoint)
Proficient with MS Project and AI tools
Expert in MS Excel
Knowledge of project management techniques and tools
Good communication and interpersonal skills capable of maintaining strong relationships
Excellent written and verbal communication skills
Strong organizational and multi-tasking skills
Excellent analytical and problem-solving abilities
Documentation management and ability to use project management tools
Attention to details even under pressure
Time management skills with the ability to meet deadlines
This position is considered Remote in the East Coast and will need to follow EST time zone.
