Overview
This role is for an IT Outlook Data Migration Specialist on a contract basis, paid $75.00 – $90.00 per hour. The position is on-site and based in the United States. You will consolidate years of email data into a single validated master Outlook dataset, preserve metadata, and deploy identical configurations to both laptop and desktop environments.
Responsibilities
Identify and inventory all PST and OST files located on laptops, desktops, servers, NAS, iPhone, external backups, and legacy hard drives.
Merge unique emails from POP‑downloaded PSTs and recent IMAP migrations into one master Outlook dataset.
Preserve folder structure, sent/received dates, attachments, read/unread status, and other email metadata.
Detect, remove, or clearly manage duplicate messages.
Recover missing emails from previous hard‑drive copies.
Create a backup copy on the NAS and configure identical Outlook profiles on both laptop and desktop.
Document all steps, decisions, and findings in a clear, reversible manner.
Qualifications
Deep experience with Outlook PST/OST architecture.
Strong understanding of POP vs. IMAP behavior and mailbox migration best practices.
Proven ability to merge large mailboxes safely and efficiently.
Solid backup and validation discipline, with a focus on data integrity over speed.
Experience handling confidential and regulated data, applying strict access controls.
Familiarity with HIPAA‑related safeguards and willingness to execute appropriate confidentiality agreements if PHI is involved.
Excellent documentation skills and ability to explain technical actions and rationale.
