Role Summary

Project Coordinator provides routine administrative support to the internal and external project management team. The position collects, processes, inputs, organizes and files data and documentation from various sources and stakeholders in support of the administrative, documentation, data, reporting, compliance and communications needs of projects. Key Responsibilities

Utilize responsibility matrix to align with ongoing business process improvement efforts supporting the full project lifecycle. Collect, process, input, organize and file data and documentation from various sources requested by the project management team in accordance with established business processes. Process information within specific timeframes to maintain efficiency and timeliness. Provide timely and effective communication to internal and external stakeholders. Support project management during the bidding process, preparing bid invitations, specification documents, addressing regulatory and compliance requirements and tracking bid communications. Support during the award process by issuing bond memos, setting up, issuing and fully executing subcontracts. Maintain documents per established file structure and organize information into standard formats and reports in various systems such as project dashboard, CMiC, electronic signature tools, etc. Coordinate submission of project documentation and prepare routine correspondence such as letters, emails, meeting notes and proposals. Create and distribute potential change items (PCIs) and requests for information (RFIs) and follow up on change orders. Track, monitor and collaborate with internal stakeholders to ensure necessary documentation meets compliance requirements before releasing payments to subcontractors. Provide additional administrative support to other functions as needed. Demonstrate discretion and integrity with highly confidential and sensitive information. Deliver customer satisfaction by responding promptly to customer needs and managing difficult or emotional customer situations efficiently. Knowledge, Skills & Abilities

Accurate, complete work completed in a timely manner. Strong verbal and written communication skills. Proficiency in MS Office. Excellent organizational skills. Collaborate cross-functionally to obtain information and solve problems to support team goals. Critical thinking and attention to detail. Learn and use a variety of software, tools and systems necessary to meet business needs. Knowledge of administrative, office and general billing procedures. Build relationships and collaborate within a team, internally and externally. Education

High School Diploma or GED (Required). Experience

2+ years administrative or clerical support experience (Required). 2+ years construction project support experience (Preferred). Working Environment

Must be able to lift up to 10 pounds. May require periods of travel. Must be willing to work non-traditional hours to meet project needs. Normal office environment, but may be exposed to extreme conditions (hot or cold). Frequent activity: Sitting, Viewing Computer Screen. Occasional activity: Standing, Walking, Bending, Climbing, Reaching above Shoulder, Pushing, Pulling. Benefits Information
