Job Summary Provides comprehensive front desk support for Sunrise Systems, Inc., handling communication, mail, and administrative tasks while ensuring a seamless visitor experience.

Responsibilities

Answers and directs incoming calls on the central phone system, notifying IT personnel of any malfunctions.

Greets visitors courteously, directs them to appropriate personnel, and manages sign‑in/sign‑out procedures.

Notifies Facilities & Office Services Manager or HR of suspicious visitors and calls appropriate authorities.

Retrieves incoming faxes and routes them electronically to the correct personnel promptly.

Accepts and signs for all incoming packages/mail, notifying recipients and checking overnight drop boxes daily.

Prepares onsite meetings and alternate office hours with appropriate signage and name tags; coordinates with cleaning and vending services.

Maintains lobby order and cleanliness, assists with scheduling package pickups, and processes premium payments.

Ensures checks are delivered to correct locations by coordinating with the Office Services team.

Provides administrative support to the Office Services Department and other units as directed; audits scanned documents for quality and correct indexing.

Researches and updates member information using the National Change of Address spreadsheet; acts as liaison with vending vendor.

Maintains and updates process guidelines and policies for lobby/front desk with assistance from Facilities & Office Services Manager.

Processes sorting of incoming mail per established guidelines.

Participates in company‑wide quality management activities and relevant training on federal and state regulations.

Essential Functions

Good interpersonal and communication skills; facilitates telephone and face‑to‑face interactions.

Accesses and utilizes electronic appointment information for patient exams, prepares required paperwork, and confirms physician orders.

Schedules appointments and consults with physicians’ offices as needed; manages film purging and transfer.

Enforces patient privacy and confidentiality per HIPAA regulations.

Monitors inventories related to the job, ordering accordingly.

Demonstrates competence in computer applications and operates standard office equipment.

Maintains employee medical record correspondence and interfiles all ancillary test results.

Qualifications

Required: High School Diploma or equivalent.

Preferred: 1 year of relevant experience in a clinical office setting.
