About the Role Leading mechanical contractor in Northwest Ohio, is seeking a
Service Billing Clerk (Level 2)
to join our team in Lima, OH. In this role, you’ll be a key contributor to the smooth execution of our billing operations, ensuring accurate, timely, and professional invoicing of service work across the organization. This role is essential to the financial health and customer satisfaction of our business.

Key Responsibilities Billing Review & Processing - 40%
Review completed work orders for accuracy and completeness, verify labor, materials, and parts billed correctly, and apply correct rates and markups.
Generate and send invoices for service work and agreements.
Cross‑Departmental Communication - 20%
Collaborate with service technicians and managers to resolve discrepancies.
Partner with internal departments (service, finance, customer service) to ensure alignment on job billing.
Client Account Management - 15%
Send monthly statements, respond to client billing inquiries and disputes, and follow up on past‑due invoices via email or phone.
ERP & Recordkeeping - 15%
Maintain accurate billing records and documentation in ERP software.
Ensure records are organized, audit‑ready, and aligned with company standards.
Administrative Support & Other Duties - 10%
Provide general support to the Director of Finance & Administration and assist with additional administrative or financial tasks as needed.

You bring a strong understanding of billing processes—ideally within a service or HVAC environment—and are comfortable using ERP systems and Microsoft Office. You’re proactive, communicative, and value being part of a team that supports both internal departments and external clients with professionalism.
Qualifications
Associate degree or equivalent combination of training and experience (2‑5 years in billing or office administration).
Familiarity with HVAC or service industry terminology and work order processing.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Working knowledge of accounting procedures and ERP billing systems.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and meet deadlines independently.
Notary Public certification
preferred or willingness to obtain.
Performance Measures
Accuracy and timeliness of service billing
Responsiveness to internal and external inquiries
Effective collaboration with service and finance teams
Annual performance review and adherence to departmental KPIs
Willingness to grow skills and adopt process improvements
