POSITION SUMMARY The Administrative Assistant provides essential clerical, administrative, and member-service support to ensure the efficient daily operations of Farmers’ Electric Cooperative (FEC). Serving as an initial point of contact for external inquiries and providing support assistance for internal matters, this role represents FEC with professionalism and a strong commitment to member service. Key responsibilities include maintaining accurate member records, processing documentation, supporting office staff, and facilitating clear, consistent communication with members.

ESSENTIAL JOB RESPONSIBILITIES Communications & Correspondence

Serve as a phone operator by answering calls, routing calls and messages to the appropriate departments, and assisting members in a professional, courteous manner.

Monitor Farmers’ Electric Cooperative corporate email account.

Member Records & File Management

Create new member files and ensure all required documentation is complete and properly organized.

Maintain general member filing systems, including new member files and ongoing updates.

File documents and remove outdated or inactive member files in accordance with Cooperative retention policies.

Pull disconnected membership files and prepare them for archival or further processing.

Mail membership application letters and conduct appropriate follow-up with applicants.

Prepare and send expired draft letters; track responses and update records as needed.

General Office & Clerical Support

Provide and assist all FEC departments with clerical or administrative tasks as needed.

Scan checks and maintain digital records in accordance with internal procedures.

Clean and organize the receipt drawer and manage payment checks stored in the safe.

Assist with the preparation and organization of reports, mailings, and other office documentation.

Support day-to-day administrative tasks such as copying, scanning, data entry, and document preparation for all FEC departments.

OTHER DUTIES AND RESPONSIBILITIES

Must exhibit a friendly and courteous manner when talking to member-owners, as well as any individuals, when representing the Cooperative.

Must exhibit a courteous and cooperative manner in communicating and working with other employees.

Must believe in and be interested in furthering the Cooperative’s goals and objectives. Must have a desire to always work and be of service to the Cooperative’s members.

Ability to travel and receive continuing education courses as needed.

Perform other duties which may be assigned, including assisting with the Cooperative’s Annual Membership Meeting.

QUALIFICATIONS & EXPERIENCE

High school diploma or equivalent required.

Previous administrative, office support, or customer service experience preferred—utility or cooperative experience a plus but not required.

KNOWLEDGE, SKILLS & ABILITIES

Professional demeanor with excellent member-service orientation.

Strong organizational skills with excellent attention to detail.

Proficiency with computers and office software (Microsoft Office, email platforms, scanning tools).

Ability to become proficient with industry-specific software.

Commitment to confidentiality and accuracy in handling financial and member information.

Ability to manage multiple tasks, set priorities, and maintain accuracy.

Excellent communication skills—both verbal and written.
