Program Coordinator I - Psychiatry: National Crime Victims Research and Treatment Center Job Description Summary: The incumbent will provide technical, programmatic, and administrative services on an OVC award supporting the National Mass Violence Center (NMVC). This position will be responsible for administering programmatic and administrative activities related to the Response, Recovery, and Resilience Division for the NMVC Division. This position will coordinate community correspondence, organization and tracking of services and activities, and program coordination with mass violence impacted communities. The position will work closely with the Director of Response, Recovery and Resilience Division on outreach, support, resource tool development, scheduling and planning of meetings and activities.

Work Schedule Monday – Friday, 8:30 am – 5:00 pm. Occasional evening and weekend hours for response activities.

Job Duties

15% – Assist in coordinating Response meetings and activities for all identified communities. Includes scheduling, confirming, organizing, and attending consultation meetings with state and local agencies of mass‑violence impacted communities, managing invite lists, tracking activities in an Excel database, and following up on action items.

15% – Assist in daily organization, communication, and tracking of direct consultation and support for the Director of Response Division, team members, and consultants. Draft correspondence and talking points, coordinate communications with state and local providers, and represent the NMVC with diplomacy and professionalism.

15% – Work with Response consultants to ensure activity tracking is captured accurately and in a timely fashion.

10% – Coordinate monthly partner meetings; quarterly all‑partner meetings and communications with ~20 partners. Manage invites, agendas, minutes, attendance records, new member tracking, and assist with technical issues.

15% – Assist with project deliverables of the NMVC related to the Response Division. Track progress on goals and objectives, coordinate meetings, and document milestones for weekly presentations to Division Directors.

10% – Oversee and organize 1 Forum and assist other forums; ensure schedules, invites, agendas, minutes, attendance records, new member tracking, and tech assistance.

10% – Assist with the organization of bi‑weekly Response TTA for OVC Program Manager.

5% – Coordinate travel for the Director of Response Division, including booking and reimbursements.

5% – Conduct other duties as assigned.

Preferred Education and Experience Experience with victim services and trauma‑informed care encouraged. Experience with service delivery tracking. Comfortable working in a fast‑paced flexible environment with state and local entities responding to mass violence. Knowledge of Excel, REDCap, Zoom, Teams, Word, PowerPoint is a plus. Ability to communicate effectively orally and in writing, prioritize tasks, exercise judgment and discretion, maintain professionalism and confidentiality, and demonstrate a strong work ethic.

Minimum Requirements Bachelor’s degree and one year of relevant program experience.

Physical Requirements

Continuous: 6–8 hours per shift upright; indoor work; lift and carry up to 15 lb.; maintain 20/40 vision; maintain hearing acuity; perform gross motor functions with frequent fine motor movements.

Frequent: 2–6 hours per shift seated or walking/mobile; resolve concrete problem; perform repetitive motions with hands/wrists/elbows/shoulders; reach in all directions; good finger dexterity; visible and recognize objects at a distance.

Infrequent: 0–2 hours per shift: work outdoors in all weather; work in confined spaces; kneel or squat; pinch; push/pull up to 15 lb.; lower objects from height; maintain peripheral vision; perform fine motor tasks.
