Base pay range $36.00/hr - $39.00/hr
Required Skills & Experience
Bachelor's/University degree.
3+ years of administrative experience working with C‑suite executives.
Investment relations/investment banking background.
Previous office administration experience within a large and complex financial services or similar organization.
Proven and significant experience supporting senior C‑Level executive, preferably within a large and complex organization.
Highly proficient in Microsoft Office (Outlook, Teams, OneDrive, PowerPoint, Word and Excel) and Adobe Pro.
Prioritization and workload management skills.
Excellent verbal and written communication skills for senior level executives.
Detail oriented with excellent organizational skills.
Strong discretion and confidentiality.
What You Will Be Doing
Ensure seamless administrative operations, handle sensitive tasks with discretion, and provide high level support in a fast‑paced environment.
Serve as the point of contact for internal and external stakeholders, ensuring timely communication and information flow to both Head of IR, Business Execution team and direct reports.
Work closely with the Business Execution team to prepare the Head of IR with detailed agendas, presentations and documents as well as follow up on key action items.
Manage all aspects of appointment/meetings (in‑person, virtual and hybrid), including monitoring attendance, requesting, reviewing and attaching materials and logistics such as meeting rooms, catering, restaurant reservations, technology and printing.
Organize and execute executive events, including offsite meetings and investor/analyst engagements, ensuring all logistics are handled efficiently.
Collect various requests (e.g., meetings, actions, follow ups) by engaging and corresponding with individuals and appropriately collate and track independently.
Build relationships and coordinate with other Executive Assistants.
Serve as backup support when required.
Order supplies and process invoices through Procure to Pay system.
