Position Summary Coordinates, schedules, and registers patients for surgical procedures, diagnostic testing, and office visits. Works with physicians, staff, insurance carriers, and external agencies to adjust schedules and accommodate special requests while ensuring compliance with protocols.

Key Accountabilities

Use courteous telephone techniques and interpersonal skills to establish rapport with patients, physicians, office personnel, and hospital staff while maintaining confidentiality.

Work directly with insurance carriers to obtain authorizations and referrals per guidelines.

Complete detailed estimates for physician services and explain patient financial responsibilities; collect co‑insurance and posts payments before procedures.

Verify patient demographics, eligibility, and diagnostics per scheduling protocol.

Request and obtain pre‑surgical clearance from patient’s PCP or specialty provider.

Reconcile schedules for each physician, coordinating office and OR times to maximize efficiency; confirm completion of all cases in EMR.

Coordinate with external vendors to ensure surgical equipment availability.

Communicate professionally with all stakeholders; maintain thorough documentation.

Ensure compliance with budgetary guidelines, time management, supply management, productivity, and accuracy of practice; adhere to all university policies.

Perform other duties as assigned.

Certification / Skills Effective written and verbal communication, strong multitasking, proficient typing/keyboarding. Knowledge of medical terminology and a clinical license is preferred.

Minimum Education High School Diploma or equivalent.

Minimum Experience Two (2) years in a hospital or medical business office.

Physical Requirements May need to exert up to 50 pounds occasionally, up to 20 pounds frequently, and up to 10 pounds constantly to move objects.
