OPEN UNTIL FILLED Provides advanced executive-level administrative, financial, and project support to the City Manager’s Office. Serves as a key operational and administrative partner to the City Manager and Assistant City Manager, ensuring the efficient functioning of the office.

Responsibilities

Provide advanced administrative support to the City Manager and Assistant City Manager, including calendar coordination, correspondence, document preparation, and meeting logistics.

Assist the City Manager and Assistant City Manager with a wide variety of City projects, initiatives, and special assignments.

Maintain regular office hours to support the daily operations of the City Manager’s Office.

Handle sensitive and confidential information with discretion and professionalism.

Prepare executive correspondence, reports, presentations, and briefing materials.

Track expenditures, process invoices, and reconcile City Manager's Office accounts in coordination with the Finance Department.

Manage purchasing requests, procurement documentation, and vendor coordination for the Office.

Assist with payroll, timekeeping, and leave reporting for the City Manager’s Office.

Serve as a liaison with Human Resources and Finance regarding payroll, personnel transactions, and related administrative matters.

Serve as an administrative liaison between the City Manager’s Office and City Council members as directed.

Develop, monitor, and maintain the City Manager’s Office operating budget.

Assist with the preparation and distribution of City Council agenda materials, reports, and supporting documentation.

Coordinate responses to inquiries and requests involving City Council offices.

Conduct research, compile data, and prepare summaries or recommendations as requested.

Coordinate interdepartmental projects and follow up on action items to ensure timely completion.

Work collaboratively with the City’s Public Information Officer on communications related to the City Manager’s Office.

Support special events and initiatives involving the City Manager’s Office.

Perform related duties as assigned.

Qualifications

Associate's degree or 60 college credits from an accredited institution of higher learning; Bachelor’s degree preferred.

Three (3) to five (5) years of progressively responsible administrative, executive support, or financial experience.

Experience in a municipal or public-sector environment preferred.

This is a full‑time position with benefits. The regular work schedule is Monday through Friday, 8:00 a.m. to 4:45 p.m. The position is covered under the City of Miami Springs General Employees’ Pension Plan, which requires a mandatory pre‑tax employee contribution. The contribution rate fluctuates annually and is 5.87% for Fiscal Year 2025–26. Salary placement will be based on experience, qualifications, internal equity, and prior compensation.
