We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support 2 leadership members of our wealth management firm. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a trusted partner, ensuring the executives’ time is optimized and business operations run smoothly. Key Responsibilities Calendar & Scheduling: Manage complex calendars, coordinate meetings, and prioritize appointments to maximize efficiency. Travel Coordination: Arrange domestic and international travel, including flights, accommodation, and itineraries. Expense Reimbursements: Responsible for tracking, reconciling, and processing executive expenses to ensure accuracy, compliance, and timely reimbursement. Communication Management: Screen and prioritize emails, calls, and correspondence; draft and proofread communications. Meeting Preparation: Prepare agendas, presentations, and briefing materials; take detailed notes and track action items. Project Support: Assist with special projects, research, and reporting as requested by executives. Confidentiality: Handle sensitive information with the highest level of discretion and professionalism. Relationship Management: Liaise with internal teams, clients, and external partners on behalf of the executives. Office Organization: Maintain files, records, and systems to ensure smooth operations. Qualifications Bachelor’s degree or equivalent experience preferred. Minimum 5+ years supporting senior executives, ideally in financial services or wealth management. Advanced proficiency in Microsoft Office Suite and familiarity with CRM tools. Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Ability to work independently and anticipate needs proactively. High level of professionalism and discretion.
