The Billing Assistant provides circulation services to students, faculty, and other library users. The role manages all library circulation billing responsibilities, including communications, the collection of all library circulation billing revenue, and records management. It collaborates with the Head of Access Services and the Circ Team to revise policy, procedures, and workflows related to fine and fee management. The Billing Assistant prepares and forwards quarterly lists of patrons with outstanding delinquent accounts for review, supporting library account suspension and student account/registration/graduation holds.

What You’ll Do

Facilitate access to library materials, providing circulation desk services such as directional assistance, general borrowing, print course reserves access, interlibrary loan pick‑up, loanable technology lending, copy/print/scan station assistance, and general study room reservations.

Manage library circulation billing (fines, fees, lost or damage charges) for library materials (excluding loanable technology and equipment), communicate policies, answer patron inquiries, investigate claims, assess material damage, send overdue notices and bills, and process payment collection.

Maintain circulation billing records, generate ILS system reports on overdue and lost items, update status in the online catalog, and coordinate with Technical Services and Collection Development regarding item withdrawal.

Supervise and mentor student workers operating in the night and weekend staff rotation, assigning tasks and ensuring adequate front‑desk support.

Directly supervise student assistants during scheduled times at the Access Services Desk, assigning daily tasks and following applicable policies for student employees.

What You’ll Need

Associate degree required; bachelor’s degree or Library Technical Assistant certification preferred.

Experience providing customer service in a fast‑paced environment (previous library experience preferred).

Experience managing financial accounts preferred.

One year of supervising staff or an area of operations preferred.

Proficiency in basic computer skills (email, Microsoft Office, Google Docs) required; experience with Alma or other integrated library systems preferred.

Demonstrated ability to communicate effectively with people across cultural identities and foster an inclusive, equitable, and welcoming environment.

The anticipated hiring range for this position is: $18.70/hr to $18.89/hr. Compensation will depend on experience, education, and departmental budget.
