Overview As an integral member of the Management Team, the Service Manager reports daily to the Community Manager and coordinates with Regional Management and Asset Preservation and Enhancement as necessary to ensure the completion of all service priorities including service requests, turnkey, move‑ins, preventive maintenance, status of budgets and staffing. Directly supervises all service associates (when applicable) including technicians, groundskeeper/porters, and housekeepers and responsible for performing all tasks of maintenance as necessary.

Specific Duties And Responsibilities

Service Requests Manage the work order assignment and completion process to the SLA of 24‑hour emergency and 72 on routine. Oversee the use of Yardi for the work order process inclusive of assignments, notes, and completion on work orders. Conduct quality assurance on completed work orders and follow up on negative feedback of survey results. Handles escalation from resident feedback on 100% follow up if a work order is found to be incomplete/insufficiently completed.

Punch‑Outs Coordinate the turnkey process for vacant units using preferred vendors and ensure timely completion within the prescribed turn time established in the maintenance guide. Utilize the Make Ready Dashboard in Yardi to manage turnkey process. Ensure that a Market Ready Punch‑Out List is filled out for each unit punched and given to the Community Manager. Ensure all corresponding work orders are closed out with punch. Inspect the unit after completion of the punch, certify move‑in ready status and sign off on the tent card. Schedule turnkey services including painters, cleaners, flooring etc. Perform pre‑inspection walk with Assistant Manager 45 days prior to scheduled move‑out date.

Curb Appeal Ensure the property is always free of trash; keep dumpsters and compactor areas free of visible trash. Water flowers and plants. Coordinate with landscaping vendor for routine and seasonal services.

Preventative Maintenance Perform preventive and routine maintenance tasks following the maintenance plan and inspection schedule established for the community. Adhere to program schedule. Conduct periodic unit inspections using mobile devices.

Maintenance Shop Standards Ensure shop is clean and organized at all times per policy. Manage inventory as detailed in the standardization guide.

Maintenance Purchasing Use exclusively vendors listed in the “Approved Vendors List.” Work with the Community Manager to ensure all vendors are approved. Utilize Lead Service tech to address inventory controls and purchase orders. Work with the Community Manager on maintenance budget categories to manage expenditures. Fully adhere to the purchase order policy when placing orders for goods and services, including adherence to the approved operating budget.

Manage Service Personnel Recruit, train, and develop associates. Motivate by giving consistent constructive feedback, modeling positive behavior and performance, and recognizing and rewarding exceptional results. Schedule work of service technicians, punch techs, groundskeeper/porters, and housekeepers. Conduct performance evaluations with the On‑Site Property Manager. Recommend hires and terminate staff with the Community Manager. Assist with recruiting, interviewing and onboarding staff. Administer disciplinary action with Community Manager, according to policy. Coordinate “Emergency On‑Call” for the property; serve in the On‑Call rotation as necessary. Provide back‑up support for individuals sharing in the emergency On‑Call rotation.

Emergency On‑Call Share in “Emergency On‑Call” as necessary; requires 24‑hour availability during the “on‑call” period. Respond to all emergency calls within one hour of receipt and take necessary action to complete the needed repair in compliance with maintenance policies and procedures. Enter work order in Yardi for all emergency calls received.

General Duties This hands‑on position requires a share of completing service requests, punch‑outs, etc. The Service Supervisor may be requested to help at other properties including “On‑Call.” Help perform legal evictions of residents supervised by the county marshal as requested. May be required to help move residents’ furniture and personal belongings during any evictions. Occasional duties outside routine work may be assigned by Regional Manager, Asset Preservation or Community Manager. Provide additional services during inspections.

Inspections Take lead on all REAC, Lender, State and Authority inspections. Ensure property compliance prior to inspection and comply with necessary time frames for repair on any deficiencies noted. Coordinate vendors and schedules prior to inspection. Communicate with Regional Management, Asset Preservation and Community Manager on inspection preparedness.

Internal Policies Follow and adhere to all company policies including Life/Safety, Mold and Mildew, Uniforms, Bedbugs etc. Adhere to the handheld telephone policy and ensure phone is charged and operational daily.

Experience / Qualifications

Prefer a minimum of three years of experience in apartment maintenance.

Supervision experience in a similar or related field if supervising personnel.

Experience dealing with customers or the general public.

Must be certified Universal or Type I and II for refrigerant recovery.

Trade school courses in HVAC, electricity, plumbing, etc., preferred.

High School Diploma or GED.

Good writing skills required for filling out work orders.

Basic computer skills inclusive of email, smartphones, web browsing, Excel and Word documents.

General good health with the ability to climb ladders, enter attics, move appliances and perform normal activities associated with apartment maintenance.

Personal grooming, dress, and appearances in keeping with normal expectations for maintenance professionals.

Can assist Community Manager and/or Assistant Manager in all duties, which may include flex hours outside of published office hours.

Must pass the IPM Maintenance Test with a minimum score of 70 %.

HVAC certification required.

EPA certification preferred.

Must have a valid state‑issued Driver’s License.

Successful completion of all in‑house training programs related to the service level as defined in the IPM Management Service Policies and Procedures manual.
