Job Summary Reporting to the Director of Donor Relations, the Temporary Donor Relations Assistant will provide administrative and operational support to the Donor Relations team. Responsibilities include preparing acknowledgment letters, handling donor communications, maintaining data integrity, responding to inquiries, and serving as the liaison between Donor Relations and campus partners.
Job Duties
30%
– Coordinate and implement day‑to‑day administrative functions: printing, collating, mailing donor communications; copying, scanning, and maintaining electronic files; answering external and internal inquiries by phone and email; scheduling meetings, taking notes, entering data, and updating procedures. (Essential)

– Prepare and mail leadership‑level ($1,000–$24,999) acknowledgments and other donor‑advised‑fund, honorary, memorial, and matching gift acknowledgments. Develop and maintain donor reporting and acknowledgment processes and documentation. Produce weekly donor acknowledgment letters with accuracy and timeliness. (Essential)

– Oversee data and information requests to Advancement Services, Engagement Communications, and other internal partners. Validate data accuracy across communications and recognition materials. Ensure integrity of donor data used in stewardship efforts. (Essential)

– Assist with tracking the Donor Relations budget, submitting credit‑card reports, processing invoices, and managing contracts. Coordinate with internal departments and vendors on work orders, payments, and check requests. (Essential)

– Maintain and update the Donor Relations project and production calendar using Asana, Excel, Smartsheet, and Google Workspace. Serve as project‑management point person within the team. (Marginal)

– Prepare materials for donor reports and communications. Expand writing to include research and drafting content for impact reports, student profiles, and stewardship communications. Assist with editing, proofreading, and preparing donor reports, including endowment and spend‑down fund reports. (Essential)

– Assist with special and ongoing stewardship and recognition initiatives, including launching new programs and executing bi‑monthly first‑time donor touchpoints. Administer the leadership gift societies program once launched. (Essential)
Minimum Qualifications
Bachelor’s degree in a related field or equivalent combination of education and experience.
Proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Drive, Adobe Acrobat, web editing, and social media applications.
Detail‑oriented, thorough, with strong problem‑prevention skills.
Commitment to a high‑quality work product.
Effective verbal, written, and electronic communication skills.
Strong interpersonal skills and ability to collaborate with diverse constituencies.

Two years of related work experience, particularly within higher education, non‑profit organizations, or fundraising.
Experience writing custom reports and communication pieces.
Expected hiring range
– $18.00/hr – $21.00/hr. This position is not benefits eligible.
