Air Lake Machine & Welding is seeking a proactive, detail‑oriented Customer Service & Operations Coordinator to support and coordinate front‑office operations. This role sits at the center of the business, connecting customers, vendors, engineering, and the shop floor to ensure work moves efficiently from inquiry through shipment and invoicing.
We are looking for someone who is naturally organized, communicates clearly, and is motivated to learn how a machine and welding shop operates. Over time, this role will take on increasing responsibility, contribute to process improvement, and become a trusted operational partner to leadership.
This role requires daily coordination with the Shop Lead and shop floor, and priorities are driven by active jobs, shop schedules, and customer commitments.
Key Responsibilities:
Customer Service & Front Office
Answer phones, greet walk‑in customers, and serve as the primary point of contact for customer inquiries.
Communicate job status, lead times, and delivery expectations to customers.
Route technical questions to engineering or shop leadership as appropriate.
Maintain a professional, responsive, and customer‑focused front office presence.
Quoting & Order Support:
Assist with preparation of job quotes, including gathering information, reviewing prints, and coordinating with engineering and shop leadership.
Enter and manage quotes and jobs in the ERP system.
Follow up on open quotes and customer approvals.
Support the Shop Lead, President, and engineering staff with administrative aspects of quoting.
Purchasing & Vendor Coordination:
Place material purchase orders based on job requirements and direction from engineering or management.
Order outside services such as heat treating, plating, laser cutting, or other subcontracted processes.
Track material and outside service deliveries to ensure jobs stay on schedule.
Maintain relationships with material suppliers and vendors.
Job & Document Management:
Maintain job documentation including prints, purchase orders, certifications, and job notes.
Ensure required documentation is complete prior to job release and shipment.
Support shipping and receiving coordination as needed.
Administrative & Operational Support:
Support invoicing by ensuring job details and documentation are complete and accurate.
Assist with general office tasks to keep operations running smoothly.
Help maintain organized digital records (drawings, quotes, job files).
Participate in process improvements as systems and workflows evolve.
Required Qualifications:
Demonstrated curiosity and willingness to learn new systems, processes, and technical concepts.
Strong organizational skills and attention to detail.
Clear written and verbal communication skills.
Comfort working with ERP systems, spreadsheets, and structured workflows.
Ability to manage multiple tasks and shifting priorities without constant supervision.
Professional demeanor when interacting with customers, vendors, and shop personnel.
Preferred Qualifications:
Experience in a machine shop, fabrication shop, or manufacturing environment.
Prior responsibility for quoting support, purchasing, scheduling, or job coordination.
Ability to read and interpret basic mechanical drawings (training available).
Experience improving or documenting office or operational processes.
Familiarity with ERP or job management systems (JobBOSS, E2, Fulcrum Pro, or similar).
