Board Services Administrator role at University of Rochester. The Board Services Administrator plays a critical role in supporting the University’s Board of Trustees and the Secretary to the Board. What You’ll Do Board & Committee Operations
Plan and support board and committee meetings, including scheduling, room setup, catering, and audiovisual needs Prepare and distribute agendas, board packets, and related materials Record, draft, and distribute accurate and timely meeting minutes for official University records Governance & Compliance Support
Assist with maintaining corporate governance documents such as bylaws, committee charters, policies, and procedures Support compliance with legal and regulatory requirements, including preparation and filing of required documentation Records & Documentation Management
Maintain organized, secure, and accessible records of board minutes, resolutions, correspondence, and committee materials Manage the distribution and archival of approved materials, resolutions, and action items Assist with preparing and distributing board communications and reports Communication & Relationship Management
Serve as a primary point of contact for Trustees, facilitating communication and follow-up on board actions Coordinate communication between the board, executive leadership, and internal and external stakeholders Handle board-related correspondence, phone calls, and emails with professionalism and discretion Administrative & Operational Support
Manage calendars, schedules, travel arrangements, and accommodations for board members Support Board Office operations, events, staff coordination, and budget oversight Prepare and process expense reports and reimbursements Assist with special projects, research, and event planning (including annual meetings, retreats, and special gatherings) Provide backup administrative support as needed to ensure continuity of operations What You Bring
Required Qualifications Bachelor’s degree in a related administrative field Minimum of 3 years of administrative experience, including at least 2 years supporting senior executives or board members Experience in an executive-level or higher education administrative setting or paralegal certification/experience Exceptional organizational, communication, and time management skills Demonstrated ability to handle confidential information with discretion and integrity Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and Adobe Acrobat Flexibility to work outside regular business hours as needed for board meetings and events Preferred Qualifications
Experience in corporate governance or legal compliance 5+ years supporting boards, executives, or senior leadership Familiarity with board or project management tools such as BoardEffect or Monday.com Compensation
Base pay range : $63,815.00/yr - $95,723.00/yr Note:
