Purpose To perform office daily operations by supporting and assisting the principal or designee in maintaining and organizing the functions of the office; and displaying a working knowledge of school district policies, regulations, and procedures as they pertain to the office in which he/she is assigned.

Functions

Follows all laws, Board Policies, regulations, rules and procedures, and complies with the instructions and/or directives from his/her supervisor(s).

Works primarily independently in assigned settings.

Establishes an effective working rapport with all other staff.

Maintains a consumer friendly demeanor when working with internal and external publics and assists visitors and other persons with any information or directions they may need.

Utilizes any applicable software programs pertinent to his/her particular office setting for the creation of letters, forms, databases, spreadsheets, brochures, purchase orders, bid specifications, reports, and any similar such document as necessary.

As directed, assists in scheduling and/or coordinating building-level seminars, meetings, trainings, visits, etc.

Establishes, manages, and maintains office records and filing system(s).

Sorts and prioritizes office mail and directs all such mail (incoming/outgoing) to proper areas and/or persons.

Politely, effectively, and efficiently manages phone communications.

Posts district-level documents on the DocuShare system.

Monitors and orders general office supplies.

Maintains an accurate calendar of meetings and appointments.

Prepares monthly Board reports as required.

Maintains an adequate knowledge of school district forms and related procedures and properly uses and processes such.

Assists the principal or designee in the development of applicable handbooks, manuals, forms, newsletters, brochures, and similar such items.

Creates and disseminates minutes for meetings when appropriate.

Serves as receptionist in the assigned office, performs general office duties, and provides secretarial services for assigned administration.

Helps keep inventory records to aid in budget preparation and assists in developing those areas of the school district’s budget pertinent to his/her assignment.

Operates general office machinery including, but not limited to, copier, postage meter, word processor, fax machine, and communication system.

As directed, arranges for substitute employees.

Maintains contemporary professional awareness and promotes personal professional growth through participation in professional development activities.

As authorized, works the additional hours necessary outside of the normal work day for the completion of tasks inherent to the position.

Performs the work described herein without posing a direct threat to the health or safety of himself/herself or others.

Performs other duties and related tasks as assigned by the Superintendent or designee.

Qualifications

Has the ability to read, write, and speak English fluently.

Two years post high school training is preferred.

Experience in secretarial positions, especially in school-related settings, is preferred.

Displays the necessary skills in such areas as reading, writing, grammar, spelling, punctuation, and arithmetic that are sufficient to carry out assigned functions.

Possesses necessary technology-related knowledge and individual computer skills, including but not limited to the ability to keyboard at the proscribed number of correct words per minute.

Has the ability to prepare documents without error, while working within deadlines and dealing with unplanned interruptions.

Has the ability to perform multiple tasks simultaneously and to properly collect, organize, and report data.

Possesses effective communication, judgmental, planning, organizational, problem solving, and human relations skills.

Must possess and display the ability to follow directives and adhere to the established chain of command.

Must be dependable, punctual, flexible, appropriately attired, neat in appearance, and able to manage time appropriately.

Must maintain a professional demeanor and image.

Must be courteous to students, staff, and the general public.

Must possess adequate interpersonal skills, demonstrating the ability to work independently and/or on a team.

Provides evidence of professional growth and development by keeping current in the field.

Physical Qualifications

Must be able to remain in a stationary position for prolonged periods of time.

Must be able to move about the work area to access materials, file cabinets, machinery, etc.

Must be able to operate equipment relative to his/her position for use and simple service or repair.

Must be able to travel between school district buildings and other job-related locations as necessary.

Must be able to withstand changes in environmental conditions inside and outside of the work facility, and to adapt to these changes.

Must be able to access all work areas and locations.

Must be able to lift as required.
