Summary

The Clinic Supervisor provides continuous oversight of clinic flow, patient care, and staff competency. The Clinic Supervisor plays a critical role in practice operations and office efficiencies while focusing on our five core values: Excellence, Compassion, Patient Care, Integrity, and Community.

Essential Functions:

Provides support and supervision to the clinic to maintain an orderly and efficient office routine

Daily use of various company-wide communication systems – such as Emails, Teams, Calls, etc.

Ensures standards of patient care and customer service are consistently met

Anticipates and fulfills physician needs

Addresses urgent problems involving medical staff and patients

Adequately documents and relays concerns regarding the clinic to Regional Manager in a timely manner

Ensures employees are treated in a fair and equitable manner

Helps to implement employee projects to achieve initiatives and reach goals

Works with Regional Manager to administer and monitor employee responsibilities, designated assignments, and work quality

Assists in steady progress towards established clinic goals

Provides feedback to Regional Manager regarding potential efficiencies, ideas for streamlining processes, and assessment feedback staffing needs based on organizational goals

Coordinates with Regional Manager to set and drive organizational vision and core values amongst staff

Assists in coordinating training for office staff (front desk, technicians, scribes, and opticians)

Empowers employees by recognizing and rewarding their contributions

Coordinates with Regional Manager for Employees Performance Management (coaching, written warnings, termination)

Expected to maintain standards of care for the facility and all assets within the clinic and organization

Auxiliary Functions:

Assists with onboarding new hires and terminations

Reviews and submits receipts and office batch reports to Regional Manager

Coordinates with Regional Manager to complete quarterly asset audits for clinic-related inventory

Uses efficient and cost-effective approaches with office supply ordering

Supports and implements organizational changes

Reviews provided leadership materials and attends trainings

Performs other related duties and responsibilities as directed

Knowledge, Skills, and Abilities:

Knowledge of current medical terminology to communicate with physicians, staff, and patients

Knowledge of effective problem-solving and conflict resolution techniques.

Skilled in interpersonal (one-on-one, meetings, or group presentations) and written communication (reports and business correspondence)

Skilled in analytical decision-making and the ability quickly assess and resolve complex logistical, technical, and patient care problems and issues.

Ability to assist and perform basic functions of the following positions: Front Desk, Technician, and Optical

Ability to read and interpret documents such as safety guidelines, operating and maintenance instructions, procedure manuals, and government regulations

Ability to anticipate and react calmly to emergency situations

Ability to train, motivate, and supervise staff.

Ability to perform focused work with close attention to detail in a fast-paced environment

Ability to operate office equipment including medical testing, computers, copiers, fax machines, multi-line phones, etc.

Ability to demonstrate sound judgment and decision-making

Ability to follow direction and receive constructive feedback

Minimum Qualifications

High School Diploma (required).

Minimum one year of clinic technician experience (required).

COT (Certified Ophthalmic Technician) / COA (Certified Ophthalmic Assistant) Certifications (preferred).

Physical Requirements/Typical Working Conditions:

Environment:

Primarily a temperature-controlled facility.

Work may require prolonged standing, some bending, stooping, and stretching.

Requires hand-eye coordination and manual dexterity sufficient to operate surgical equipment, a keyboard, mouse, and standard office equipment.

Requires normal range of hearing and eyesight to communicate in person, by phone, or over video.

Requires occasional lifting papers or boxes up to 30 pounds.

Essential Physical Tasks:

Sight – sufficient to adjust small instruments, read physical documents, and images on a computer monitor.

Smell – sufficient to discern smoke/something burning, and other odors.

Hear – sufficient to hold face to face/telephone/video call conversations, and to discern other ambient noises.

Touch – sufficient to operate surgical equipment, keyboard, mouse, other standard office equipment, and writing implements.

Physical ability/strength – sufficient to lift, twist, turn, reach, climb, kneel, squat, sit, walk, stand, bend as needed throughout a standard shift.

Expected Hours of Work:

This is a full-time position. Core days and hours are Monday through Friday, 8:00a.m. to 5:00p.m. The Clinic Supervisor is expected to effectively balance administration hours and in clinic hours to ensure the essential functions and responsibilities of this position are being performed successfully.
