Project Manager – Show Production (AV Concepts)
The Project Manager’s primary responsibility is to manage all aspects of show pre‑production and on‑site execution, delivering the highest level of client satisfaction. The role focuses on corporate and special events primarily in the Greater Phoenix area, ensuring that each show meets budget goals and receives full technical oversight of equipment, labor, and post‑show reviews. Proactive communication with clients and internal teams is essential.
Key Responsibilities
Collaborate with the business development team to prepare proposals, quotes, and CAD drawings before quotes are generated.
Attend pre‑production site visits or client walk‑throughs as needed.
Organize equipment, labor, quotes, proposals, sub‑rentals, shipping, transportation, and venue requirements; generate purchase orders (POs) for invoicing.
Manage crew requirements, labor schedules, and update order and change requests.
Design electrical plans and prepare room diagrams.
Maintain production packets and qualify labor skills for technical positions.
Oversee on‑site load‑in schedules and conduct safety meetings with crew.
Collaborate with Accounting and Operations to produce accurate invoices and post‑show reports.
Track on‑site changes in Intellievent, update POs, and complete expense summaries.
Coordinate with sales, operations, and accounting for post‑show client satisfaction and retention.
Other duties as assigned by the Vice President of Technology.
Travel at least 75% of the time to support the position’s requirements across AV Concepts’ event portfolio.
Job Qualifications
At least seven years of experience managing audiovisual equipment, client expectations, and production workflows.
Successfully completed shows or events with a minimum of $200,000 in total billings.
In‑depth knowledge of labor requirements, including union labor, and ability to qualify specific labor skills.
Strong technical knowledge of AV equipment, content production, and workflow.
General knowledge of lighting and rigging, proficiency in design tools such as AutoCAD and Vectorworks.
Comprehensive understanding of rigging (dead hangs, bridals) and OSHA safety guidelines.
Superior customer service skills and ability to work with internal and external customers.
Proficiency with MS Word, Excel, PowerPoint, and Outlook.
Experience with innovative digital solutions, including 3D or holographic projection, is a plus.
Willingness to travel within the Greater Phoenix area and occasionally nationwide for client needs.
Event experience at local venues, especially the Phoenix Convention Center, is preferred.
