The Position An Accounts Payable Coordinator manages the financial aspects of projects by overseeing the accounts payable process for three entities. This role involves processing invoices, managing vendor relationships, and ensuring accurate and timely payments to suppliers and subcontractors.
Responsibilities
Receives and reviews invoices from suppliers, subcontractors, and vendors for accuracy.
Matches invoices to purchase orders and contracts to ensure alignment with quotes and services provided.
Enter invoices from vendors into QuickBooks.
Submits invoices for approval to Accounting Manager with supporting backup information.
Processes weekly reports on outstanding invoices and payment status for leadership.
Ensures invoices are approved by upper management before processing payment.
Applies payments in QuickBooks to reconcile bank withdrawals.
Addresses inquiries and discrepancies related to invoices and payments.
Processes payments to vendors and subcontractors in a timely manner, adhering to payment schedules and project timelines.
Prepares and prints out checks, electronic payments, or wire transfers as needed.
Processes credit card payments for the invoices for Texas Outhouse and Gainsborough Waste.
Verifies that all incoming inventory matches the document that is provided.
Reconcile processed work by verifying entries and comparing reports to balances.
Negotiates payment terms when necessary and communicates any changes to vendors.
Monitors discount opportunities and identify opportunities for cost savings.
Maintains accounting ledgers by verifying and posting account transactions.
Protects organization's value by keeping information confidential.
Investigates claims of lost manual checks, verifying if banks cleared checks and reissuing them if necessary.
Processes payments for driver damage claims and employee loans.
Additional Responsibilities
Updates job knowledge by participating in educational opportunities.
Collaborates with Sales, Customer Service and Dispatch to resolve issues and discrepancies.
Assists with close out activities to support the Accounting Team.
Uploads positive pay checks as required into Cadence Bank Portal.
All other duties as assigned.
This position has no supervisory responsibilities.
High School or general education degree (GED) required.
Bachelor’s degree in business or accounting from four-year college or university preferred.
Certified Accounts Payable Professional (CAPP) certification preferred.
Up to 2 years of related experience or training required.
General understanding of principles, practices, and procedures of accounting.
Experience with Microsoft Office software.
Experience in QuickBooks.
Detail Orientation.
Problem Solving.
