Position Summary The

Front Office Hospitality & Site Operations Coordinator

is a hands‑on, on‑site role primarily responsible for front‑office reception, daily hospitality, and ensuring school sites are welcoming, organized, and operationally ready. The role serves as the first point of contact for visitors, families, students, and callers, while also supporting basic site operations, facilities coordination, and supply tracking. The position emphasizes consistency, follow‑through, documentation, and comfort with routine, recurring tasks.

Key Responsibilities Front Office & Daily Hospitality (Primary Focus)

Serve as the primary front‑office presence, greeting visitors, students, and families with professionalism, warmth, and consistency.

Provide consistent front‑desk coverage during assigned school hours, including student arrival times and high‑traffic periods.

Answer incoming phone calls promptly and route inquiries appropriately.

Handle first‑level questions from families, students, vendors, and staff before escalating as needed.

Maintain visitor logs, front‑desk organization, and shared reception spaces.

Support daily site readiness by ensuring the front office and common areas are presentable, stocked, and welcoming.

Coordinate mail, deliveries, and basic administrative needs at the site.

Telephonic Hospitality & Enrollment Support

Ensure phone coverage follows established scripts and hospitality standards.

Support outbound and inbound calls related to enrollment inquiries and family outreach as directed.

Accurately document calls, outreach efforts, and follow‑ups in MStar Connect, the school’s internal communications and ticketing system.

Assist with basic enrollment‑related coordination by directing families to the appropriate department or staff member.

Submit required outreach activity summaries or reports as requested by Operations leadership.

Site Operations & Facilities Coordination (Supportive Role)

Conduct daily walkthroughs of assigned sites to identify cleanliness, safety, or presentation concerns.

Report facilities issues (e.g., HVAC, plumbing, lighting, janitorial) and follow established escalation procedures.

Coordinate with approved vendors by submitting requests, tracking status, and confirming completion of work.

Support preventive maintenance schedules and routine site checklists.

Assist with periodic site organization, decluttering, and space optimization efforts.

Supplies & Inventory Support

Track and verify supply levels for front office, classrooms, and shared spaces using established checklists.

Assist with maintaining organized storage areas for office, cleaning, and hospitality supplies.

Flag low inventory and coordinate replenishment requests in a timely manner.

Submit weekly or monthly supply and checklist updates as required.

Compliance, Professionalism & Collaboration

Support compliance with Arizona school facility, safety, and visitor management requirements.

Maintain accurate documentation for inspections, audits, and internal reviews.

Uphold confidentiality, professionalism, and FERPA requirements at all times.

Collaborate with Operations, Admissions, and site staff to support enrollment, engagement, and day‑to‑day school functioning.

Perform additional administrative or operational tasks as assigned by leadership.

Qualifications

1–3 years of experience in front‑office administration, school reception, hospitality, or site‑based operations.

Strong organizational skills with comfort managing recurring tasks, checklists, and documentation.

Professional communication skills, both in‑person and over the phone.

Ability to work independently while consistently following established procedures, checklists, and escalation protocols.

Comfort using digital tools such as shared drives, spreadsheets, CRM or ticketing systems.

Ability to multitask while maintaining attention to detail and professionalism.

Experience in a school or educational environment preferred (charter school experience a plus).

Bilingual (English/Spanish) is a strong plus.

Valid driver’s license with willingness for light travel between campuses as needed.

Ability to lift and carry supplies or materials up to approximately 20 pounds.

Work Environment & Expectations

This is a hands‑on, on‑site role with some cross‑site responsibilities.

The role requires consistency, discretion, reliability, and follow‑through.

Compensation is commensurate with experience and qualifications.

As a small charter organization, flexibility is expected while maintaining clear accountability and documentation.
