Supervisor, Inventory Control, Materials Management
Full Time, 80 Hours per Pay Period, Day Shifts
Fort Loudoun Overview Fort Loudoun Medical Center, part of Covenant Health, is an 87,000‑square‑foot hospital serving Loudon County and surrounding communities. Position Summary Works under the general supervision of the Director of Materials Management to coordinate all inventory control functions for the Materials Management Department. Performs all duties necessary to ensure that the ordering and receipt for all perpetual inventory locations is completed within hospital guidelines and parameters of the Materials Management information system. Supervises and directs the daily work activities of the staff necessary to accomplish all the functions of the Materials Management department. Assists with implementing and monitoring department processes to achieve performance goals.
Key Responsibilities
Supervise and direct the daily supply and equipment receiving, storage, and distribution functions within the Materials Management department.
Assume operational responsibility of the department in the absence of the manager, including scheduling and staff assignments.
Assist with the implementation and monitor compliance with policies, procedures, and regulations for all work functions under this area of responsibility.
Provide input for performance continuums and recommend personnel development.
Coordinate annual physical inventory counts for all inventory locations, including generation of count sheets, auditing counts, researching variances, and maintaining support documentation for auditors.
Conduct routine cycle counts for perpetual inventory locations and report findings.
Ensure accuracy of all inventory debits, credits, and adjustments to the appropriate cost centers.
Use research and analytical skills to study supply trends at the facility or department level and prepare succinct reports for managers and customers.
Maintain the overall accuracy of the Materials Management inventory and support annual inventory turnover goals set by management.
Handle customer complaints and follow up to ensure resolution to satisfaction.
Use the inventory management system to maintain adequate inventory balances in perpetual inventory.
Use various reports and system forecasts to ensure proper minimums and maximums are specified.
Prepare and communicate emergency purchase orders within policy guidelines on the Materials Management Information System (MMIS).
Act as a conduit/consultant between Corporate Purchasing and end users to assure requested items are added and maintained within the MMIS.
Resolve matters related to invoice/shipping discrepancies with vendors, Corporate Purchasing, and finance staff.
Communicate professionally with customers, suppliers, and support personnel via telephone, e‑mail, or in person.
Attend meetings with suppliers, customers, support staff, and management as directed.
Provide requisitioning training to hospital staff as requested.
Maintain a neat and well‑organized filing system for documents related to purchase transactions.
Coordinate vendor returns, backorders, or evaluations as required or requested by management.
Recommend product substitutions to customers in cases of vendor backorder or supply shortages.
Follow policies, procedures, and safety standards; complete required education assignments annually; work toward achieving goals and objectives; and participate in quality improvement initiatives.
Travel locally as required.
Perform other duties as assigned.
Minimum Education None specified; will accept any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill and ability needed to perform the essential tasks of the job, typically such as would be equivalent to a high school diploma or GED. Preference may be given to individuals possessing an Associate’s degree in a directly‑related field from an accredited college or university.
Minimum Experience A minimum of three to five (3-5) years of directly‑comparable experience.
Licensure Requirement Employee must have a valid Tennessee driver’s license and state‑mandated minimum insurance coverage. Driving record must meet Covenant Health minimum standards at the date of hire and throughout employment tenure.
