Reports to: Sr. Transportation Manager Supervises: N/A FLSA status: Non-Exempt Full Time: Yes Travel: No Primary Location: Memphis, TN Schedule: Hours are onsite Monday through Friday 8:00am to 5:00pm. Must be able to work after‑hours as needed. Essential Job Duties
Invoice Processing: Receive, sort, and process a high volume of freight invoices from various carriers and vendors via company TMS and mail. Discrepancy Resolution: Investigate and resolve freight billing discrepancies or errors (e.g., incorrect rates, duplicate charges, accessorial fees) by collaborating with carriers, internal sales team, and TMS support. Payment Coordination: Coordinate with Accounts Payable to ensure timely and accurate payment for carriers. Facilitate reconciliation of freight invoices, ensuring all documentation and approvals are complete before payment is executed by AP. Vendor Relations: Respond to carrier and vendor inquiries regarding invoice status, documentation, and reconciliation, escalating payment issues to AP as needed. Record Keeping & Reporting: Support data collection for internal reporting and financial audits. Claim Intake & Documentation: Manage the full claims process from initial notice to final settlement, gathering necessary documentation such as bills of lading, proof of delivery, and photos of damaged goods. Investigation and Analysis: Investigate incidents of lost, damaged, or delayed shipments to determine the cause, carrier liability, and validity of the claim in compliance with industry regulations. Communication & Negotiation: Serve as the primary point of contact for customers, carriers, and insurance providers regarding claim status and resolution. Negotiate settlements with involved parties to ensure fair and timely resolutions. Process Improvement: Analyze claim trends and dispute patterns to identify root causes and recommend improvements to prevent future issues and optimize processes. Perform customer service tasks related to internal and external customer inquiries. Compile, update and monitor carrier performance data for Transportation metrics and KPI’s. Assist in daily office tasks (e.g., answering email and phone calls) as required. Assist in special projects as needed. Education and Experience Requirement
A High School diploma is required. Advanced collegiate coursework is strongly preferred. MS Word, Outlook, Excel – Filtering, Sorting, Data Mining and VLOOKUP. Knowledgeable in AS/400 and other TMS software. 5 years’ customer service experience, preferably in a distribution environment. Skills and Attributes
Self‑Starter – Can complete tasks with minimum to low supervision. Excellent customer service skills. Strong communication skills. Both Written and verbal. Must have effective multi‑task and time management skills. Working Environment and Physical Demands
The work environment is in an office setting. Moderate noise level. Lifting up to twenty pounds may be required. Work involves sitting continuously, talking, hearing, and using a computer mouse and keypad throughout the day. Typing required. Vision abilities required include close vision of a computer screen and the ability to adjust focus. Pay, Benefits and More
