The Role
The Proposal Coordinator supports White Construction’s business development efforts by leading proposal and interview deliverables while collaborating closely with Marketing, Relationship Management, and project teams. This role is approximately 80% proposal/interview development and 20% marketing, events, and asset management, playing a key role in advancing company-wide pursuit strategies. Key Responsibilities
Proposal & Interview Coordination Coordinate end-to-end proposal and interview efforts for RFQs/RFPs across multiple offices. Support pursuit strategy, kickoff meetings, and development of win themes. Ensure compliance with RFP/RFQ requirements and submission criteria. Gather and synthesize technical content into clear, compelling, and visually consistent proposals. Develop interview presentations, coordinate logistics, and support mock interviews and debriefs. Maintain pursuit data, schedules, and content using CRM and proposal management tools. Marketing & Brand Support Assist with development and maintenance of resumes, project sheets, photography, and marketing assets. Organize and manage marketing libraries, templates, and content systems (including OpenAsset). Support events such as groundbreakings, client functions, and community engagements. Collaborate on promotional materials, website updates, and social media content. Coordinate with external vendors for marketing and event-related needs. Qualifications
Bachelor’s degree in Marketing, Communications, or related field preferred. 5+ years of experience in proposal coordination, marketing, or business development, preferred. Proficiency in Adobe InDesign, Photoshop, Microsoft Word, Excel, and PowerPoint. Experience with CRM platforms (Unanet preferred) and OpenAsset (preferred). Strong writing, organization, and time-management skills in deadline-driven environments. Ability to collaborate across teams and communicate effectively with diverse stakeholders. AEC industry experience and strong visual communication skills are a plus. Self-motivated, detail-oriented, and committed to continuous improvement. Seniority level
