Job Title
Receptionist (Hospitality)
Location Chicago, IL
Reports To The Receptionist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview The Receptionist will help elevate the office experience by providing personalized, client‑centric services and administrative support. They greet and assist all visitors, answer inbound calls and emails, and offer the highest level of service to corporate employees. The role maintains a professional image, supports cross‑trained teamwork in mail/shipping, hospitality, and general office/facilities work, and provides curated experiences and general office support.
Duties And Responsibilities
Provide 5‑star customer service to all employees and visitors across all communication channels.
Greet, check in, and assist visitors; manage visitor registration, NDAs, and temporary badges.
Answer and route calls professionally, including confidential inquiries; update phone and speed‑dial lists.
Maintain reception area cleanliness and oversee visitor amenities.
Coordinate with Security for access cards, parking passes, and badge issues; track and follow up on loaned access cards.
Notify staff of incoming deliveries and coordinate with Mail Room as needed.
Support scheduling of meeting rooms, ordering catering, and light administrative tasks.
Coordinate with AV and Facilities teams; submit work orders when required.
Assist with hospitality tasks including replenishing pantry, conference, and kitchen areas.
Support meeting room setups and monitor office supply levels.
Assist with copy/print requests and ensure equipment functionality.
Build strong relationships with employees and teams; maintain professionalism in all interactions.
Seek out additional tasks during downtime and provide backup support for front‑ and back‑office functions.
Qualifications
High school diploma required; degree in hospitality or related field preferred.
Experience in client‑facing or hospitality roles within a corporate setting.
Strong communication, organization, and problem‑solving skills.
Tech‑savvy, adaptable, and proactive in a fast‑paced environment.
Professional, discreet, and service‑oriented with a polished demeanor.
Hospitality or customer‑service certification a plus.
Physical Demands
Regularly lift or move up to 40–60 lbs. using standard equipment.
Ability to walk, bend, kneel, stand, or sit for extended periods.
Manual dexterity to operate office equipment and computer systems.
Must be able to perform tasks requiring close and distance vision, color vision, and depth perception.
Travel None or negligible.
