KiZAN Technologies: Executive Assistant to the CEO
Reports to : CEO of KiZAN
Location : West Chester, OH (on-site)
Eligibility : Bonus eligible based on company performance, no commission
This is not a traditional administrative role. As Executive Assistant to the CEO, you will serve as a strategic partner and trusted adviser at the highest level of leadership.
Role demands exceptional judgment, absolute discretion, and mastery of executive-level coordination. You will anticipate needs, orchestrate priorities, and ensure flawless execution across the organization, enabling leadership success in high‑stakes environments.
Responsibilities Strategic & Executive Partnership
Act as a trusted thought partner to the CEO, aligning priorities with organizational goals and proactively identifying and mitigating risks and challenges.
Track strategic initiatives, monitor milestones, and ensure timely, accurate execution of key priorities.
Anticipate executive needs and provide strategic recommendations to support business objectives and decision making.
Executive Calendar & Time Management
Lead management of a complex, high-volume executive calendar with exceptional attention to detail and foresight.
Coordinate priorities, meetings, and deadlines to ensure optimal use of executive time.
Leadership Engagement & Governance
Prepare high‑impact presentations, reports, and briefing materials for senior leadership meetings, board sessions, and executive forums.
Support project governance by maintaining visibility into deliverables, timelines, and outcomes across executive initiatives.
Manage sensitive and confidential communications with discretion and professionalism.
Communication & Brand Representation
Draft and edit executive-level correspondence, presentations, and internal communications that reflect KiZAN’s brand, culture, and commitment to innovation.
Serve as a liaison between the CEO, leadership team, and internal/external stakeholders.
Technology Enablement & Process Optimization
Leverage Microsoft 365, Teams, and SharePoint to optimize workflows, improve collaboration, and drive operational efficiency.
Identify opportunities to streamline executive and organizational processes through technology and best practices.
Maintain accurate executive records, trackers, dashboards, and documentation through timely and precise data entry across calendars, reports, and enterprise systems.
Global Travel & Event Management
Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, and logistics.
Plan and execute high‑profile meetings and events, ensuring a seamless and professional experience.
Confidentiality, Compliance & Corporate Governance
Uphold the highest standards of confidentiality, discretion, and professionalism in all executive matters.
Ensure adherence to corporate governance practices and internal compliance standards.
Requirements
Proven Expertise: 7‑10 years as an Executive Assistant with at least 5 years supporting C‑Suite executives in fast‑paced, high‑profile environments.
Technical Mastery: Advanced proficiency in Microsoft Office Suite and enterprise scheduling tools.
Communication Power: Exceptional written and verbal skills, with the ability to influence and inspire at all levels.
Operational Agility: Ability to manage competing priorities under pressure with grace and precision.
Professional Integrity: Uncompromising discretion and professionalism in all interactions.
Executive Accountability: Proven experience helping a CEO stay on task by organizing priorities, tracking action items, and ensuring timely follow‑through on commitments.
