Business Solutions Manager at Ultimate Staffing We are seeking a dynamic and resourceful

Executive Assistant

to provide comprehensive support to senior leadership within a rapidly growing organization. This is not a traditional EA role—our ideal candidate is a proactive problem-solver with an operational mindset, strong technical skills, and the ability to thrive in a fast‑paced environment where no two days are the same.

You’ll work closely with multiple executives across different departments, including occasional support for ownership, and play a key role in ensuring smooth operations. If you’re highly organized, tech‑savvy, and eager to contribute beyond calendar management and travel coordination, we want to hear from you.

Key Responsibilities

Provide high‑level administrative and operational support to multiple executives and department leaders.

Manage calendars, meetings, and travel logistics while adapting to shifting priorities.

Create, maintain, and troubleshoot Excel‑based reports, timesheets, and data dashboards (advanced Excel skills required).

Support HR and recruiting efforts, including resume screening, interview coordination, and job posting management.

Serve as a liaison between leadership and internal teams to streamline communication and workflows.

Assist with special projects, process improvements, and operational initiatives.

Draft professional correspondence, presentations, and internal documentation.

Anticipate needs and proactively resolve issues before they arise.

Maintain confidentiality and exercise sound judgment in all matters.

What We’re Looking For

Proven experience as an Executive Assistant or similar role in a fast‑paced, operationally driven environment.

Advanced proficiency in Microsoft Excel (pivot tables, formulas, data analysis).

Strong technical aptitude and ability to learn new systems quickly.

Excellent organizational, time‑management, and problem‑solving skills.

Exceptional written and verbal communication abilities.

High level of professionalism, discretion, and reliability.
